Act as point of contact to outside callers; moderate telephone responsibilities
Greet guests, messengers, couriers and other visitors at the front desk, and ensure that identification is checked and the visitor log is completed
General upkeep of the common areas of the office; ensure that the reception area and conference rooms are clean, neat, stocked and organized
Sort and distribute incoming mail and shipments
Assist FCS management with conference room calendar; assist employees with reserving rooms if needed
Re-stock office and kitchen supplies and other office essentials
Coordinate outgoing mail and shipments, including USPS, Royal Mail, DHL, Fed Ex and UPS
Assist in ordering catering when needed and in setting up the delivery, ensuring that the correct department is charged for the expense
Assist local FCS management with Health & Safety topics
Perform outside errands on occasion as required
Act as back-up for other FCS resources and management as required
May also assist with special projects for Human Resources on occasion
Intermediate Word, Excel and email skills required
Professional and polished at all times in demeanor, appearance, telephone manner
Strong customer service orientation and interpersonal skills
Flexible, team player approach at all times
Able to multi-task and prioritize effectively
Excellent time management and organizational skills
Strong verbal and written communication skills
2+ years reception/ administration/office assistant experience preferred
