Counseling Services Supervisor

Supervise, organize, and plan the daily operations of the Counseling Services Division classified staff and student workers to include those in the Counseling Center, Transfer Center and the Career Center offices. Assist in the development, direction and coordination of classified personnel, procedures, policies, programs and services; assist with budget development, expenditure tracking, and equipment and material utilization.
Supervision Received and Exercised
Receives supervision from the Dean, Counseling Services. Exercises supervision over assigned classified and hourly employees in Counseling Services.
Duties and Responsibilities
Plan, arrange, and maintain work assignments and work schedules for classified staff; conduct staff meetings; establish priorities and adjust assignments to ensure efficiency. Train, evaluate, discipline, reassign and terminate personnel in accordance with College regulations; recommend salary reclassifications and perform classified personnel evaluations; assist with the resolution of complaints and performance issues of classified staff; supervise classified personnel functions; coordinate planned absences of assigned staff; ensure all legally required documents related to personnel activity are completed correctly and submitted in a timely manner to Human Resource Services for new and replacement of classified, short-term and student employees; assure compliance with Human Resource Services and Payroll Services processes such as timesheets and reclassifications requirements; create and exercise polices and procedures to provide a safe and healthy working environment. Assist the Dean of Counseling Services, Department Chair, Articulation Officer, and Career and Transfer Center special assignment counselors in budget development and expenditure tracking. Develop, document, maintain, and prepare quarterly and annual reports for the State and District department and offices. Design, conduct and respond to research and survey studies. Prepare analytical and statistical reports on operations and activities for the Counseling Services Division as necessary. Recommend, prepare and assist in the implementation of departmental goals, objectives, policies and procedures; serve as the department’s liaison and respond to students, staff, campus, and community inquiries including supervision, investigation and complaints from employees and students. Supervise the implementation and administration of appointment scheduling software. Provide backup support for front-line staff as needed. Perform related duties and responsibilities as assigned or required.
Knowledge, Skills, Abilities
Knowledge: Supervision and training; budget development and expenditure tracking; competence using Microsoft Office software including Word and Excel; computer operations including computerized appointment systems.
Abilities: Supervise, organize, review the work of select, train, and evaluate staff; assist in the development, direction and coordination of classified personnel; review, analyze and recommend approval or denial of classified staff assignments; prepare and compile statistical information and write reports from data collected; communicate effectively, both orally and in writing; establish and maintain cooperative and effective working relationships with others contacted in the course of work; operate a wide variety of modern office equipment including a personal computer and associated software programs including accounting and database management and Microsoft Office.
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Education: Equivalent to a Bachelor’s degree from an accredited college or university in education, counseling, business, human resources, public administration, or related field. Note: Only coursework completed at, and degrees awarded by, accredited institutions recognized by the U.S. Department of Education will be considered as satisfying the minimum qualifications.
Experience: Three years of full-time equivalent professional supervisory experience, including at least two years of experience in student services or education institutions.
Position requires sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds in a community college.
Experience working with an integrated student database such as PeopleSoft; community college experience in a supervisory position or other office management experience; knowledge of and experience in using SARS appointment management software.

This position is specially-funded and its continuation is dependent upon availability and/or continuation of funds.
