Duties and Supporting Responsibilities:
Answer telephones, send faxes and correspondence.
Mail Monthly Laboratory test and collect sample from Sous chefs.
Perform with executive chef test swabbing and keep record of all result thru 3M Software and send to Sous chefs follow up on inspection.
Maintain the Executive Chef's calendar and all appointments.
Input Schedules into ADP Time Saver.
Maintain the office correspondence in a proper and sequential order at all times.
Maintain all menus and culinary collateral throughout the hotel.
Take the minutes of all meetings and ensure proper follow up and follow through with the necessary updates.
Monitor/retrieve and classify FLHSS & HACCAP documentation, helping creating Logs and Check list for yearly inspection.
Monitor Health Card Status for all colleagues and generate alert when a renewal is necessary.
Monitor and maintain record on all HACCP Certification.
Maintain record of all Health department inspection.
Handles all the Guest comment analysis and correspondence that goes with it.
Prepare purchase orders and expense reports.
Handle reservation and/or requests for VIP's when necessary.
Assist with all ordering for the Culinary Department including office supllie.
Provides Administrative support to the Executive Chef and remainder of culinary management team.
Organize Colleagues appraisals in a timely manner.
Perform any additional duties as assigned by the Executive Chef
Required Skills & Experience:
Minimum of a High School diploma
A minimum of 3- 5 years of administrative experience
Previous experience in luxury environment or high-end establishment
Must possess ability to coordinate with multiple tasks
Computer literacy to include: Microsoft Word, Excel, PowerPoint, etc. SMS a plus
Have the ability to put together multi media presentations that are required
Excellent English communication skills both written/verbal
Ability to maintain a high degree of confidentiality
Requires high levels of interaction with all members of staff. Possess high degree of stamina, agility and flexibility
Able to present themselves with an uplifting personality as well as present a polite demeanor
Ability to track and maintain appointments through a daily/monthly calendar
Ability to explain/communicate local requirements, food sanitation laws, safety regulations to all colleagues.
College degree preferred
Previous Food and Beverage management or administrative experience a plus
Setting up or pre -opening experience is desirable
Bi-lingual communication a plus
