Customer Service Representative

Promotes IFMAs products and services by providing information to current and potential stakeholders via phone and electronic methods and ensures understanding; processes orders and registrations, certification applications and renewals; enters new and renewing membership data into database; and maintains the associations management system database. Essential duties and responsibilities include, but are not limited to, the following:

Assist current and potential stakeholders in understanding and promoting IFMAs products and services via phone and e-mail

Provide proactive response to requests with continuous follow-up to assure completion for each inquiry

Research required information using available resources

Direct requests and unresolved issues to designated resources

Communicate and coordinate with internal departments following customer interactions

Maintain the overall integrity of the database, adhering to strict input guidelines

Assist with the maintenance of database records

Enter new and renewal membership applications in the association management database

Process new and renewal certification applications

Review membership records, in order to identify duplicate records and duplicate payments

Complete event registrations and apply payments in database

Prepare confirmation letters and receipts for all transactions

Follow up on declined credit cards, returned checks and refunds

Perform additional database updates, including membership and chapter changes, as well as membership reclassifications

Aid in the execution of the membership growth and retention program, in addition to special marketing campaigns

Assist in testing and providing feedback on membership and registration forms

Perform front desk duties, such as greeting guests and opening/closing the office, on a rotational basis

Complete call logs weekly

Work on special projects as assigned by supervisor

Qualifications :
Bachelors degree highly preferred

1+ years of relevant customer service experience

Technical proficiencies:
MS Word, Excel, PowerPoint, Outlook and Publisher

Typing speed of 55+ wpm

Database management

Knowledge of iMIS Association Management Software a plus

Exceptional written and verbal communication skills

Detail-oriented with solid organizational and time management skills

Self-disciplined/motivated individual who also works well in a team environment
