i. Phase Activities:
1) Work with the customer IT leadership team and selected customer IT leaders from other lines of business to gather server inventories from Remedy/PAC2000 system and other independently maintained spreadsheets and lists that exist at the time of this project. The intent is to gather and analyze the full set of existing inventory data on the customer servers located outside of the Core/Regional customer managed data centers.
2) Perform three levels of validation against the server inventory. The decision on which tools and methods to utilize will be determined at this time. If tools are to be utilized, then those would be pre-existing customer IT tools and techniques. This validation would be checking for things like de-installed servers still in the inventory, duplicate entries, a nd servers installed but missing from the inventory. This listing would also be checked against asset registered maintained by customer IT finance.
3) The inventory would be collected and analyzed in Microsoft Excel.
ii. Phase Outputs:
1) Microsoft Excel worksheets with the asset inventory and three sets of validation and analysis
Microsoft PowerPoint briefing document, including key summarization and findings from the inventory and key next steps recommended to simplify and optimize the customer non-Core/Regional technology footprint.
iii. Phase Deliverables:
1) customer Server Inventory Report. This Microsoft Excel customer inventory of servers outside of the Core/Regional data centers that is based on customer inventory management lists (e.g., Remedy/PAC 2000) and independently maintained worksheets made available to the team.
2) Findings and Recommendations Briefing. This Microsoft Pow erpoint presentation will include the team’s find ings and recommended next steps, to be used as input into the customer Management Workshop.
iv. Phase Assumptions:
1) HP will not conduct physical inventories, however will oversee and include customer physical inventory efforts.
2) All work to be performed at HP locations or at key customer office locationss
i. Phase Activities:
1) Prepare for and conduct a 1-day workshop for customer IT leadership within the line of business and the central IT organization. This workshop would review and understand the current inventory of servers and locations outside of the Core/Regional data centers and important implications.
2) Prepare for a discussion of possible improvement activities and projects, including:
i. Provisioning and sharing of assets that are not currently in use
ii. Dash-boarding of assets to provide a ‘single pane of glass’ inventory and leadership view of the servers in use by in their satellite and IT Lab locations
iii. Management of licenses and regular maintenance activities (e.g., break-fix, patching and compliance)
iv. Facility optimization, including short-term and long-term implications and costs
v. Age of equipment and availability of new technologies via controlled technology refresh
vi. Inventory of asset management tools owned/licensed by customer, as well as a current state view of the tools currently being used
vii. How to bring together the various inventory, benchmarking and asset management tools, processes and disciplines within to better manage and optimize those servers
ii. Phase Outputs:
1) Completed workshop
2) Workshop presentation materials and facilitation guide
iii. Phase Deliverables:
1) Management Workshop Notes. The meeting notes and summary from the completed workshop, delivered in Microsoft PowerPoint format. This document is expected to be ~ 12 pages, frame the need and business case for change, and outline a series of recommended next steps targeted for the CIO. These are the next steps resulting from the inventory and the management workshop to optimi ze server inventory outside of the Core/Regional da ta centers.
iv. Phase Assumptions:
1) The workshop is conducted in a single 1-day session.
3) The workshop occurs 5 or 6 weeks after project kickoff.
