PERFORMANCE PLANNING

Performs a variety of secretarial and clerical functions for the DCH Center for Occupational Health.

KEY RESPONSIBILITIES / ESSENTIAL FUNCTIONS

Enters all admission, pre-certification, discharge, billing, and charge information into the information system in an accurate and timely manner.

Maintains and appropriately disperses patient information, including referral information.

Appropriately schedules clinic appointments as well as referral appointments for Outpatient/Ancillary Services and specialty MD.s.

Assembles, maintains, files, and retrieves medical records.

Consistently documents appropriate information into patient progress notes.

Attends all required inservice training and meetings or read minutes.

Provides exemplary customer service at all times, including greeting customers, answering telephone, and assisting customers with any concerns.

Provides service in the most cost-effective manner without compromising the quality of care or customer satisfaction.

Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.

Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.

Transmit information or documents to customers, using computer, mail, or facsimile machine.

Hear and resolve complaints from customers or the public.

Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.

File and maintain records.

Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.

Collect, sort, distribute, or prepare mail, messages, or courier deliveries.

Process and prepare memos, correspondence, travel vouchers, or other documents.

Receive payment and record receipts for services.

Maintains performance, patient and employee satisfaction and financial standards as outlined in the performance evaluation.

Performs compliance requirements as outlined in the Employee Handbook

Must adhere to the DCH Behavioral Standards including creating positive relationships with patients/families, coworkers, colleagues and with self.

Requires use of electronic mail, time and attendance software, learning management software and intranet.

Must adhere to all DCH Health System policies and procedures.

All other duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, EXPERIENCE REQUIRED

High school graduate or equivalent; basic math and typing skills required; experience in clinic setting and with medical records and medical terminology preferred. Basic math skills and basic data entry skills required. Typing of at least 20 words per minute preferred. Good communication and customer service skills required.

Must be able to read, write legibly, speak, and comprehend English.

Physical

L-Light Work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force

frequently, and/or a negligible amount of force constantly (Constantly: activity or condition exists 2/3 or

more of the time) to move objects. Physical demand requirements are in excess of those for Sedentary Work.

Even though the weight lifted may be only a negligible amount, a job should be rated Light Work: (1) when

it requires walking or standing to a significant degree; or (2) when it requires sitting most of the time but

entails pushing and/or pulling of arm or leg controls; and/or (3) when the job requires working at a

production rate pace entailing the constant pushing and/or pulling of materials even though the weight of

those materials is negligible. NOTE: The constant stress and strain of maintaining a production rate pace,

especially in an industrial setting, can be and is physically demanding of a worker even though the amount of

force exerted is negligible.

Physical presence onsite is essential. Hearing and vision must be normal or corrected to within normal range. Able to perform the duties with or without reasonable accommodation.
