The Department Assistant, Facility Operations will assist the manager in a variety of duties related to providing copy services to the faculty, staff, and students of the University. This position is the primary representative at the Lincoln Park campus, and will ensure that all copy equipment is operational and service needs are met. This includes the Campus Copy Center store and all the VTS (Value Transfer Station) locations. This position will supervise several student workers, including those staffing the Lincoln Park Campus Copy Center.

Principal Duties and Responsibilities
  • Assist key operators by helping them resolve copier problems, and by calling for photocopier service in an effort to minimize downtime and ensure customer satisfaction.
  • Attend to other service issues related to the VTS machines.
  • Ensure that all wire pulls, card reader connections, and proper power has been provided.
  • Assist users to streamline workflow and arrange for on site training when requested by the customer.
  • Enter service information into the department database for tracking purposes and onto run-sheets, which are updated periodically and published online.
  • Enter meter readings and other various data into the department database.
  • Audit all Lincoln Park equipment that is connected to a card reader.
  • Provide reports that show downtime on all copiers on a monthly basis.
  • Run daily on-line card reader reports.
  • Maintain records (in CAD format on network drive) of all current Lincoln Park equipment to ensure that service never suffers due to a lack of supplies.
  • Assist in ordering all LPC supplies.
  • Assist in supervising the entire department when the Manager is not present.
  • Participate in department meetings.
  • Assist in the annual review of copier placements at all campuses, to ensure that all areas are provided with the correct class of machines for each volume segment.
  • Manage the LPC Campus Copy Center; this to include: hire and train the student employees, order supplies, open and close store, audit daily transactions, and make daily deposits at the Cashier's Office.
  • Participate in the overall team effort of quality of service towards the efficient operation of the department and the University.
  • Hire, schedule and train all Lincoln Park student employees.
  • Provide the monthly Campus Copy Center Report.
  • Participate in department meetings.
  • Provide input on purchase decisions.
  • Make daily deposits and audit the Lincoln Park Campus Copy Center.
  • Perform additional duties as assigned.

Minimum Requirements
  • High School diploma with 5 years of related experience.
  • Proficient with Microsoft Access, Excel, and Word.
  • Ability to lift up to 50 pounds (a box of paper).
  • Ability to periodically spend extended periods of time standing.
  • Ability to extensively walk and occasionally kneel and bend to provide service to customers and equipment.
  • Ability to work evenings and weekends during peak periods (midterms and finals).

Preferred Requirements:
  • Progress towards an undergraduate degree.
  • Knowledge of CAD.
  • Some proficiency with point of sale devices.
