This position is responsible for performing general administrative, office, and project financials support for the Environmental Studies and Permitting Global Practice in Kansas City. Duties may include: running, tracking, and reviewing project information reports particularly related to budgeting; coordinating with Company Accounting Department on project financial reports and status; coordinating with project managers and project controls specialist in other Global Practices for consistency in project financial reporting and tracking, coordination with GP Project Managers for project tracking and Management Information System adjustments; Answer phones and direct calls; Read and sort incoming mail and email; Collect bills/invoices; Type and format memos, correspondence, reports, and other documents; Make travel arrangements; Prepare outgoing mailings and labels, including emails and faxes; Organize and maintain project filing systems both paper and electronic; Coordinate client or vendor lunches and events, including set-up and clean-up; Reserve conference rooms; Coordinate with internal support departments; Order and maintain supplies; Arrange equipment maintenance or set-up; Project assistance for managers; Assist in Power point presentations and other marketing efforts; Help coordinate clerical needs of special projects; Complete weekly timecards; Make copies of printed material. Additional duties as assigned by supervisor to assist in the overall success of the group and company.
High School Diploma or equivalent. Minimum two years office/clerical experience. Must be proficient in Microsoft Word and Excel, familiarity with other Microsoft office applications is desirable. Excellent organization skills, attention to detail, communication skills and ability to handle multiple tasks. Some college coursework preferred.
