This position is located in Kearny Mesa.

Hours
8 hour shift: 8:00 am - 5:00 pm, no weekends.

Qualifications

  • High School Diploma or equivalent required
  • Requires 1-2 years of current secretarial experience. Healthcare setting preferred
  • Requires basic computer and keyboarding knowledge
  • Requires effective interpersonal and customer relation skills
  • Requires through telephone and face-to-face contact
  • Requires excellent communication, project development and critical thinking skills
  • Requires the ability to multi-task effectively
  • Bilingual (English/Spanish) preferred
Summary
The primary role of the Department Secretary is to work directly with and assists the System Director of Home Care Services and supports Management in Home Care Administration. Provides secretarial/clerical support by document preparation using all applications with Microsoft Office (Word, Excel, Visio, Publisher, etc.), spreadsheet applications, accurate record keeping, filing, and use of online resources. Schedules meetings and special activities, prepares agenda and attachments, attends and takes minutes for meetings as directed. Maintains agency licensure/permits and compliance of all staff, holds confidentiality of all information handled and able to multi-task in a fast pace environment while maintaining high customer service performance with vendors, patients and system employees. Updates agency forms and lists for distribution. Maintains calendar(s) of room scheduling for conferences and training rooms. Prepares invoices for submission to A/P verifying charges are correct. Ready to be used as a resource and always providing effective communication related to telephone calls, e-mails and individual interactions at many levels.
