The Development Executive Assistant provides administrative support to the Development department and the Chief Strategy and Development Officer, with a particular focus on supporting major donor fundraising and campaign planning and execution.

What you’ll do:
  • Manage the Chief Strategy and Development Officer’s Calendar to schedule both internal and external meetings
  • Make travel arrangements and prepare expense reports
  • Prepare PowerPoint presentations and assemble collateral for donor meetings
  • Coordinate Development weekly staff meeting, prepare agendas, WIPS, and minutes
  • Maintain and update Development Dashboard
  • Draft and send correspondence on behalf of Chief Strategy Officer
  • Develop and disseminate meeting lists
  • Enter new contacts and donor updates into Salesforce and Outlook databases
  • Maintain board and council lists in print and online
  • Manage Development team vacation calendar
  • Maintain donor and prospect files
  • Manage and prepare prospect and donor research/background briefs for Common Sense executives and Board members
  • Prepare and send top prospect lists for Board members, CEO and Chief Strategy Officer; track progress and record moves in Salesforce database
  • Assist with outreach to selective Board members and their offices for status of their cultivations, solicitation outreach, pledge statements and pledge payments
  • Assist in producing campaign materials (case statements, timelines, lists) and scheduling prospective donor meetings
  • Produce Board Giving and Major Donor Top Tier status reports
  • Coordinate Bay Area Advisory Council meetings and activities
  • Assist with prospect research for San Francisco, Silicon Valley and West Coast

WHAT WE NEED TO SEE ON YOUR RESUME (REALLY)
  • BA Degree
  • At least 2 years of relevant fundraising and event planning experience preferred
  • Excellent writing, interpersonal and relationship building skills required
  • Ability to communicate effectively with higher level donors, executives, and program staff
  • Superior organizational and problem-solving abilities with acute attention to detail
  • Experience with portfolio and project management a plus
  • High level of proficiency with Microsoft Office including Word, Excel, Outlook and Powerpoint as well as donor databases, preferably Salesforce
  • Able to multi-task in a fast-paced environment with competing priorities
  • Ability to oversee details of complex projects with high level of accuracy and attention to detail.
  • Ability to juggle multiple tasks in a high-pressure environment with a smile and positive attitude.
