UMMARY DESCRIPTION

:
The Development Associate for Legacy Giving
and Research will be responsible for assisting the Director of Legacy Giving
and the Research Analyst with all endowment and deferred giving efforts,
prospect research, and database maintenance at The Cleveland Orchestra.

MAJOR ACTIVITIES:
1.

Legacy Giving

Administer life income gift payments, reporting, and tracking.

Work with KeyBank staff to ensure timely delivery of reports, annuity checks and
payment advice.

Distribute quarterly checks, EFT payments, and year-end tax forms

Prepare and submit new gift annuity paperwork to gift annuity administrator and finance department

Generate fund accounting reports for chair endowers and other endowed funds.

Research and identify endowed fund data necessary to generate fund accounting reports.

Work with finance office to update fund accounting report

Maintain accurate Heritage Society listings for all publications.

Prepare and send birthday, holiday, thank you and sympathy cards.

Draft memorial gift acknowledgements for donors, trust administrators, and heirs.

Produce and submit planned gift tracking reports to finance each week.

Order and administer recognition items such as memorial seat plaques, etc.

Work with special events coordinator to organize Legacy Giving donors events and
volunteer meetings.

Monitor and track Endowment and Planned Giving budget.

Process invoices and check requests.

Serve as endowment and planned giving liaison for donors/volunteers/staff.

Work at all Heritage Society events and others as required.

Work with Director to keep website content up to date

Prospect Research

Conduct detailed research on corporate, foundation and individual donors and prospective donors
utilizing a variety of online, in-house and print resources; analyze findings; and prepare summary profiles for distribution to fundraisers, senior staff and trustees. Primary focus will be on corporate and foundation research.

Assist with a variety of small day-to-day research requests such as birth/death date verifications or phone numbers, and proactive prospect identification projects.

General database Maintenance
Assist with maintaining the integrity of the Tessitura database by updating
constituent records as needed, including updating addresses on returned mail
for the P&A Department, obituary input, and updating prospect records with
research data.

Maintain accurate donor paper files and database records.

Enter all outright endowment gifts and realized planned gifts into database.

Enter planned gift intentions.

POSITION REQUIREMENTS:
Bachelor’s Degree required.

2-4 years administrative assistant/clerical experience with fundraising databases,
Microsoft Office.

Experience with planned giving software a plus.

Highly developed sense of curiosity and desire to learn.

Strong ability to deal effectively with people at all levels both within and outside
of the organization i.e. colleagues, trustees, donors, professional advisors.

Excellent organizational, written and oral communication skills.

Ability to analyze and report information in a clear and concise manner.

Ability to thoroughly understand all aspects of data entry standards and procedures.

Ability to pay attention to detail and follow projects to completion.

Able to work a flexible schedule including occasional evenings, weekends, and
holidays.
