Donor Management and Annual Giving

Responsible for all aspects of donor data, cash and in-kind gift processing, donor acknowledgement and stewardship in Raiser's Edge and Sphere, including daily contribution log.

Responsible for pulling lists, mail merging constituent biographical data for mailings and other requested lists by the development staff.

Responsible for creating and implementing matching gifts strategy, including completing matching gift forms and corporate match requests by donors and entering appropriate information into the database.

Responsible for submitting reports when needed regarding gift transaction reports or other financial data reports.

Responsible for database accuracy and coordinates regular data base maintenance duties such as de-duping, data entry corrections, consistency of format, and financial reconciliation between RE and Finance Dept.

Work with Director of Development and Development Manager to analyze donor giving patterns, and create and implement donor-related tracking procedures.

Work with development staff to accurately track, code and enter information pertaining to new events and campaigns in RE & Sphere. Proactively engage with each member of the development staff to be informed of all fundraising initiatives.

Responsible for all pledge payments, gift invoices, past-due tracking and receipts.

Processes address changes and return receipts in Sphere & RE and coordinates necessary communication with other depts.

Researches and makes recommendations on current trends regarding donor tracking, acknowledgement, and stewardship practices, including constant updating of donor acknowledgement systems and thank you letters.

Assists with coordination of annual giving events, activities, stewardship, direct mail, campaigns, and more.

Works closely with Development Mgr. , Dir. of Development and President/CEO in all functions related to donor stewardship and communication needs, such as informing the correct staff member when a phone call or personal note is needed.

Volunteer Program

Responsible for overseeing, coordinating, and executing all aspects of the agency volunteer program, including but not limited to recruiting and retaining volunteers.

Administer an effective volunteer recruitment program, including but not limited to: assisting with the creation of positions and position descriptions for volunteers; advertising volunteer opportunities in the media, web, and other free outlets to recruit and match volunteers; managing the application process and placement; developing a quality and qualified volunteer pool available for staff requests; and, working effectively to retain the existing pool of volunteers.

Develop and implement an effective appreciation and recognition program, including Volunteer Appreciation Month, in order to: foster appreciation and establish an on-going relationship with each volunteer; strengthen the connection between the volunteer and Women In Distress; and, show appreciation for volunteers.

Work internally with agency departments to continually evaluate and improve volunteer program. Coordinate with staff to continue current volunteer activities and develop creative new opportunities; with the Marketing Coordinator and Development Manager, produce and distribute marketing materials for recruitment, stewardship, etc.; develop and maintain positive connections with community, religious, & civic organizations, seniors groups and schools; and, create procedures, forms, and manuals as needed to ensure consistent volunteer practices.

Responsible for creating and maintaining an active Speakers Bureau.

Responsible for fulfilling agency requests for volunteers as well as developing new activities and projects to engage volunteers.

Oversee and track volunteer training requirements to ensure compliance with all agency funders and program certifications. Manages and maintains accurate, organized, up to-date records, files, and documentation, to include:

Comprehensive database of volunteers and hours;

Volunteer personnel files;

Any other paperwork specified by WID, FCADV, COA and any funding sources as requested"

In-Kind Donations

Responsible for meeting revenue goals for cell phone and car donation drives. Works with Development Manager to create and implement annual strategies for cultivating, soliciting, and stewarding to meet goals.

Responsible for agency donation drives, including but not limited to: Back to School, Mother's Day, Thanksgiving, and Holiday.

Implements, coordinates, and oversees gently-used donation drives to drive Thrift Store revenue.

Communicates with donors about donation needs and with Assistant Thrift Store Manager when furniture pick-up is needed.

Other:
Represent Women In Distress at select public speaking engagements when assigned and gives tours to supporters.

When needed and/or assigned, assists with third party and other agency events. Includes but is not limited to: coordinating and attending, overseeing volunteers, managing materials and displays, and more.

Assists with the development, planning and coordination of projects to support overall development effort and/or specific program needs.

Performs any other assignments given by the President/CEO, Director of Development, and/or Development Manager.

Works with internal staff, volunteers, and program participants to secure thank you's, participant stories, or more for stewardship, event, and PR purposes.
