Reporting to the Chancellor’s Chief of Staff, the Director, University Events is a key member of an energetic team that supports the mission and priorities of UMass Medical School (UMMS) both within the campus community and externally. In alignment with the UMMS strategic plan, university events play a critical role in growing and promoting UMass Medical School as a state, national and international resource, thereby enhancing the prestige of and attracting financial support for the enterprise. Toward this end, the Director, University Events is responsible for planning, designing, organizing, supervising, facilitating and/or overseeing signature university and special events in accordance with the standards and expectations of the Chancellor’s Office.

Responsibilities:
MAJOR RESPONSIBILITIES:
Plan, design, organize, supervise, implement and direct the university’s annual campus-wide events including but not limited to: Commencement; Convocation; Investiture; Educational Recognition Awards and Last Lecture; White Coat Ceremony; and Second Year Oath Ceremony
Oversee and manage all aspects of Chancellor-initiated events, both on and off campus, as well as serve as a conduit for other departments organizing events involving the Chancellor
Oversee and facilitate other special events including but not limited to: facility groundbreakings and openings; employee recognition and appreciation events; and unique celebratory events (e.g. Nobel Prize recognitions)
Coordinate University Board of Trustees activities on the Worcester campus in consultation with the University’s President’s Office
Act as consultant to senior administration, departmental leadership and other campus constituencies for special events as required
Prepare confidential materials for the Honorary Degree selection committee and maintain records of same
Serve as an official contact for special university guests (i.e. Honorary Degree recipients) and invited event speakers and participants
Establish and maintain collaborative working relationships with key individuals and constituency groups involved in the production and execution of university and special events, including external vendors
Manage events websites and the development of event publications and programs
Develop and manage multiple budgets
Develop and maintain a central event calendar, interfacing with Room Reservations

Qualifications:
REQUIRED QUALIFICATIONS:
Bachelor’s degree or equivalent combination of education and related experience
5-7 years of event planning or other relevant experience with managing large and complex events, projects, ceremonies and programs involving varied constituencies
Considerable knowledge of vendor selection and contract negotiation;
Ability to identify and secure appropriate resources, both internal and externally, required to support the event or program efforts
Knowledge of Americans with Disabilities Act and its relevance to the scope of the responsibilities of the Director, University events
Demonstrated expertise in developing and managing budgets
Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and the Internet

PREFERRED QUALIFICATIONS:
Previous experience managing large and complex events, projects, ceremonies and programs in an academic, healthcare or research based organization
Strong knowledge of academic and administrative offices and their functions; knowledge of and ability to tap resources within the University community
Familiarity with protocols in academia

Additional Information:
SUPERVISION RECEIVED :
Under general supervision of the Vice Chancellor for Development, carries out assignments independently, referring problems to the Vice Chancellor for Development

SUPERVISION EXERCISED:
The Administrative Coordinator for the Office of University Events; temporary employees and committee volunteers as required; vendors and contractors as needed

ENVIRONMENTAL WORKING CONDITIONS:
