Plans, controls, executes and refines medical practices’ daily operations and provides leadership to office and clinical support staff to achieve optimal operational, financial and clinical performance.
Develops an effective scheduling template to optimize patient access and flow and providers’ productivity. Increases patient throughput to reduce the number of days to next available appointment. Coordinates effective patient recall and appointment reminder systems and tracking mechanisms for patient referrals. Manages patient no-shows and cancellations effectively.
Ensures a healing experience for all patients and family members.
Ensures accurate capture of patient demographic and insurance information, completion of insurance eligibility and benefits verification, completion of pre-authorization, and collection of time-of-service payments and outstanding balances.
Ensures appropriate management of medical records from chart assembly and timely filing to chart retrieval and medical records release. Coordinates purging of files as determined by regulations.
Ensures facilities appeal to patients and visitors, necessary licensures are up to date and displayed, equipment are maintained and the entire environment of care is “warm” and welcoming to patients and visitors.
Ensures that new patients receive clinic information packet, pre-registration takes place, charts are prepared and test results obtained prior to patient visit.
Identifies staffing needs. Coordinates hiring, discipline, and termination of clinic employees. Coordinates orientation and training of new employees. Ensures adequate staff coverage. Promotes staff training and continuing education. Creates a great working environment, motivates and coaches staff and effectively manages staff productivity and vacation time.
Maintains and meets expectations on time for all competencies, license, certifications and education requirements as outlined by local administration, Adventist Health (AH), the Joint Commission (TJC), Centers for Medicare and Medicaid Services (CMS), and all other regulatory agencies.
Manages productivity reports and other reports as necessary. Prepares annual operating and capital budgets in coordination with Regional Director of Clinic Operations/Physician Services. Reviews financial reports and justifies budget variances. Makes purchase requisitions, manages office and medical supplies inventory in the clinics, approves and processes invoices per established policies.
Willingly performs other duties and innovations as assigned.
