Duties and Responsibilities

- Manage the day-to-day facility operation, coordination and scheduling of activities occurring within the Continuing Education Department;

- Manage and coordinate all Continuing Education support staff, setting priorities for their activities;

- Manage and oversee operational, grant, and testing budgets, making adjustments as needed and reviewing transactions;

- Manage all grant, contract training, instructor, and vendor contracts so that all required paperwork is submitted and tracked;

- Manage and maintain budgetary records for the Continuing Education department, including balances of state appropriation funds, grants, contracts, expense accounts, purchasing agreements, and other types of fiscal information;

- Assist with budget and procurement information as requested by the VP for Workforce Development and produces special reports of that information as requested;

-Serve as the primary point of contact with the institutional business office relative to resolving budgetary, procurement and accounting issues and questions;

- Establish and maintain policies regarding high-stakes testing at the Continuing Education facility;

- Supervise activities and staff involved in the day-to-day operation of the high-stakes testing facility;

- Facilitate the maintenance of two computer labs, high-stakes testing lab, and all related training and operational equipment at the Continuing Education facility;

- Coordinate with the building owner to manage the maintenance of the physical condition of the Continuing Education facility;

- Collaborate with the CE management team to support the administration and delivery of all Continuing Education training programs;

- Manage and support use of the Lumens student information system by CE staff;

- Collaborate with the CE staff to provide career counseling to prospective students;

- Work collaboratively with CE management team and staff to assess and quantify the quality performance of programs delivered;

- Work closely with internal and external partners in identifying and integrating the necessary resources to address regional workforce training needs; and,

- Perform other duties as assigned.

Minimum Qualifications

Over four years and up to six years of experience; however, any equivalent combination of education and/or experience is acceptable which provides an applicant the listed knowledge, skills, and abilities and the capability to perform the essential functions of the job.

Required Skills:

- Demonstrated ability operate a computer utilizing multiple software programs (e.g. MS Word, Excel, Outlook, Access, and all other standard MS software);

- Demonstrated ability to provide high-quality customer service to clients;

- Demonstrated ability to manage administrative support staff;

- Demonstrated ability to provide effective career counseling;

- Demonstrated ability to support the delivery of career training and professional development programs;

- Demonstrated ability to work collaboratively with a management team to identify, communicate, and solve problems;

- Demonstrated ability organize multiple projects, work as a team member, and meet guidelines within a fast-paced environment;

- Demonstrated ability to concisely communicate, orally and in writing, with accuracy and clarity;

- Demonstrated ability to effectively establish and maintain relationships with University/College/State officials, departments, students, clients, and related programs; and,

- Demonstrated ability to maintain attendance and punctuality standards

Preferred Qualifications

Master's Degree in Business or Accounting or related discipline.

Bachelor's Degree in one of the following areas of study:

Business, Education, Counseling or related field, plus one year of experience in a similar management position, or equivalent

WV Driver's License

Type and Amount of Experience Needed:

A minimum of one year of experience in a management position is required.

Experience with adult learners, training delivery, software systems, computer repair, marketing and/or selling, supervision, and/or related activities is required.

Knowledge of regional industry sectors preferred.

Self-starter with the ability to organize multiple projects, work as a team member, and meet deadlines within a fast-paced environment. The successful candidate must be able to work a flexible schedule that may include both day and evening hours and/or Saturdays. Dependability, strong written and interpersonal communication skills are essential.
