NCSEA Job AnnouncementDirector of OperationsPosition Title: Director of OperationsOrganization: North Carolina Sustainable Energy Association (NCSEA) Location: Raleigh, NCDate Posted: February 8, 2013 - position open until filled Reporting to the Executive Director, the Director of Operations is accountable for leading and managing all NCSEA day-to-day operations. His/hers primary responsibility is to ensure NCSEAs mission-driven work is adequately informed, resourced, and efficient. He/She collaborates with the Executive Director and Board of Directors to develop annual financial and labor budgets for the NCSEA and to ensure operational and program projects are tracking on budget and supported by sufficient planning, evaluation, and reporting capacity and resources. His/hers core areas of responsibility include: financial planning, analysis and reporting; fiscal management; grants; entity-wide project tracking and performance metrics; and overall operations. This position develops, improves upon and employs company procedures and protocols to help lead the staff team in optimizing our organizational performance. The Director of Operations will be collaborative, constructive and confident in sharing his or her vision for optimizing operations and enabling incremental financial growth of NCSEA. He/She must be able to perform in a risk-taking environment and be comfortable adapting to and keeping NCSEA two steps ahead of the often evolving characteristics and needs of the clean energy market ecosystem of North Carolina and the Southeast.Essential Duties & Responsibilities: Fiscal Management: • Leads financial planning & analysis, working with Executive Director, Treasurer and Strategic Leadership and Management Team to develop and track against project, program and entity-wide financial and labor budgets• Responsible for financial measurement, analysis & reporting to include: profit & loss, balance sheet, performance against budget, cash flow analysis, revenue & expense trends, revenue & expense trends, drivers, goal setting & tracking, grant tracking and reporting, donor development tracking, multi-year forecasting and audit preparation• Works closely with NCSEAs outsourced accounting service to ensure bookkeeping, AP/AR, bank reconciliations, tax refunds, and payroll are timely, accurate, compliant, transparent and auditable• Chief responsibility for organizations bank deposits, taxes, W-2, annual Form 990, sales tax refund tracking & filing, and the annual signed W9 form required for vendors• Keeps NCSEA current in state legal requirements and ensures applicable insurances are sufficient and current• Accepts signatory responsibility for organizations checking accounts and may be required to open an account with Coastal Federal Credit Union• Assures compliance accountability to the Executive Director, Board, funders and regulatory bodies• Ensures financial management & operational support is provided per contract terms to the organizations affiliated 501c6 trade association, the NC Clean Energy Business Alliance and reports performance metrics to affiliates Fundraising & Reporting: • Assists Executive Director in ensuring fundraising strategies are implemented and effective• Ensures fundraising relevant data is collected daily, analyzed, and employed to diversify, grow and deepen all revenue streams and enable strategic analysis of brand affinity across customer characteristics• Develops quarterly and annual fundraising work plans with Executive Director and outreach staff• Drafts quantifiable sections of quarterly progress report for Board, donors, and grant funders• Drafts quarterly affiliate organization reports (AEE, Coastal Federal Credit Union, ASES, ESNC)• Conducts grants management to include: drafts and submits grant proposals and tracks deliverables and writes reports for grant awards Project Management: • Ensures effective systems to track scaling progress, and regularly evaluate program components, so that measured successes can be effectively communicated to the board, funders, and other constituents• Provides Executive Director and Strategic Leadership & Management Team with integrated entity-wide project tracking against budgets, analysis to inform project planning and prioritization, and reporting• Ensures operations timelines are followed and resources provided within budget to achieve organizational goals• Employs project tracking and produces integrated monthly work plan reporting to all staff Office Organization & Management: • Complies with organizational bylaws and all Board of Directors and organizational policies• Creates and enforces Standard Operating Procedures (SOPs) and assists fellow team members in doing the same• Oversees procurement of resources and services to ensure they are compliant, necessary and on budget• Works with contractors and staff to forecast IT, phone, data, security and other electronic needs and systems• Ensures maintenance and operational functionality of office space, equipment, IT and systems• Develops and ensures staff compliance with hard and soft copy file protocols, keeping all files up to date• Works with Human Resources Director to ensure all staff and interns receive orientation on IT protocols• Ensures IT Infrastructure is being utilized so that key knowledge of employees and stakeholders can be utilized by current and future employees Leadership & Team Management: • Shares his or her vision for optimizing operations and enabling incremental financial growth of NCSEA• Recruits, manages, inspires, motivates and empowers a strong staff team of direct reports• Collaborates with Executive Director and Director of Human Resources to promote an organizational culture that fosters passion for the mission, collaboration, open and frequent communication, adaptation, alignment with a common organizational vision and celebration of incremental success in achieving specific project and broader organizational strategic objectives• Conduct bi-weekly one-on-one check-in meetings and semi-annual 360 performance reviews of direct reports• Assists Director of Human Resources in maintaining staff training manual• Promotes diversity in all initiatives• Works with the Executive Director and Board of Directors on matters relating to the organizations affiliated 501c6 trade association, the NC Clean Energy Business Alliance Knowledge, Skills & Abilities: • Action-oriented, entrepreneurial, adaptable, and innovative PowerPoint, and MS Project. Education/Experience Requirements: The Director of Operations will be thoroughly committed to NCSEAs mission. Should have proven leadership and relationship management experience. Concrete demonstrable experience and other qualifications include: • Advanced degree, ideally an MBA, with at least 5-7 years of management experience• Requires experience in the energy sector to understand the utility and clean energy industries.• Ability to point to specific examples of having developed and operationalized strategies that have taken an organization to the next stage of growth and achievement of its desired outcomes• Strong Project Management Skills, PMI certification would be a plus• Financial modeling skills• Proven track record of grant writing and management success• Excellence in operational management with the ability to manage and develop high-performance teams, set and achieve strategic objectives, and develop and manage budgets• Ability to cultivate relationships
