SCOPE AND RESPONSIBILITIES
Under the director of the Director of Quality and Regulatory Affairs, the Document Control Specialist will administrate the approval, storage, and distribution of controlled documents (i.e. drawings, specifications, procedures, reports, records) using a document control system. The Specialist checks documents and bills of material and reconciles errors or discrepancies. The Specialist also trains staff on document control processes and procedures. The Specialist ensures that approved documents are accessible, as defined by procedure, and that the electronic inventory system is updated to reflect changes.
Specific responsibilities include:
Overall control and maintenance of all documents and records.
Prepare, distribute, and control documents in accordance with the document control procedures. Confers with document originators or other personnel to resolve discrepancies and compiles required changes to documents.
Implement and monitor document system functioning. In coordination with other departments, continuously improve efficiency and accuracy of system.
Ensure that pre-established requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met.
Expedite review, signature approval, and release of documents, as necessary.
Establish and maintain files and computerized indexes for active documents. Generate electronic/hardcopy reports as needed. Process permanent, long term, short term, and vital records in all media forms, including the scanning of records and management of records in a digital format.
Assist in preparing draft manuals, drawings, and specifications.
Arranges document cataloguing and storage, archival, or disposal of documents.
Establish and maintain a record of controlled documents on distribution.
Other duties as assigned.
EXPERIENCE AND REQUIREMENTS
At least 3 years related work experience in office work, documentation and control.
Familiarity with engineering disciplines like Electrical, Mechanical, software, etc.
Knowledge in use of spreadsheets, database, word processing, electronic inventory systems (e.g. Macola), and selected job specific software.
Ability to keep clear and accurate records and reports.
Ability to use computer and rapidly input data and retrieve records and information.
Ability to organize work load and to manage a filing methods and management techniques
