The Executive Assistant for Marketing& Creative is responsible for administrative support of the VP, Marketing & Operations, as well as the VP, Creative Development & Production. Administrative support may consist of answering telephones, scheduling meetings, managing calendars, responding to correspondence, making travel arrangements, creating presentations, organization, coordinating events, updating files, etc.

Essential Duties and Responsibilities:
  • Responsible for management of day-to-day operations including; schedules, correspondence, e-mail, phones, purchase requests, customer requests, travel arrangements, presentations, etc. Includes discretionary authority about how demands on the executives' time are addressed
  • Screen and direct incoming calls, correspondence and internal and external clients/customers
  • Schedule appointments and coordinate arrangements for meetings, making sure executives meet their commitments
  • Prepare various reports, charts and graphs for use by executives
  • Responsible for managing office policies and procedures, both to ensure compliance with corporate policy, but also to simplify and improve efficiencies
  • Organize flow of work by reviewing correspondence and determining importance of such, before distributing to appropriate personnel
  • Route and answer routine correspondence not requiring executives' attention to ensure timely and accurate response
  • Organizes and maintains file system, prepares copies of correspondence and other written materials. In some cases, records may be of a highly confidential nature requiring discretion
  • Prepare and process routine forms, documents and correspondence, such as time sheets, expense reports, purchase orders, etc. following standard procedures
  • Compose and edit correspondence as needed
  • Uses equipment to prepare, compose, review and process correspondence such as emails, voicemail, faxes and other general correspondence such as sorting mail
  • Provide administrative services for projects that are consistent with corporate goals and objectives

Knowledge, Skills and Abilities:
  • Background in administrative support at an executive level in a corporate environment
  • Professional demeanor and ability to communicate effectively with all levels of employees and external individuals
  • Excellent verbal and written communication skills
  • Exceptional team collaboration
  • Highly organized and able to efficiently perform tasks with attention to detail
  • Strong clerical and administrative support skills, including extensive knowledge of, and experience with, PowerPoint, Word and Excel
  • Skilled at handling multiple tasks
  • Strong problem solving and trouble shooting skills
  • Demonstrated ability to use discretion and make sound judgment
  • Knowledge of proper formats for letters, proper grammar, spelling, and language usage; ability to produce neat, accurate correspondence
  • Self-motivated and capable of prioritizing workload
  • Must be able to work well under pressure

Education and/or Experience:
  • College degree preferred
  • High school diploma or general education degree (GED); and 2 to 4 years directly related experience and/or training; or equivalent combination of education and experience preferred
