This position will be part of the business development executive support team, providing administrative support to the Vice President of Business Development, Director of Business Development, Director of Marketing and Director of Client Implementation Services and Business Development sales team. This position will require extensive people, communication, technical and process skills related to business support functions, project assistance, collaboration and communication of strategic objective outcomes, coordination and response to client RFPs, sales presentations, database management, client communication and the ability to continuously prioritize multiple projects and have a high level of focus on quality and accuracy in all work projects and communication.
Essential Duties and Responsibilities
Develop, edit and format client communication templates including sales collateral, internal training materials, PowerPoint presentations, client proposals, financial spreadsheets and coordinate distribution.
Prepare and distribute various communications including forecasting spreadsheets, internal department communication, CRM changes/enhancements and prospect/client database analysis.
Facilitate invoicing and expense reimbursement forms through coding, approvals and to finance for processing.
Plan, coordinate and participate in department meetings, conference calls including scheduling and communication, maintain information and preparing and distribution of materials, taking minutes and following up on action items.
Handle incoming calls and communication, including responses and follow up.
Manage quarterly sales meetings and client visits including preparation of materials and meeting logistics.
Manage travel arrangements and/or coordination of travel logistics.
Coordination of client training sessions including working with sales teams to select meeting site, create client invitations, manage confirmations, assemble client training workbooks, coordinate and communicate all travel logistics components of the sessions.
Maintain PTO records for Business Development Department.
Use extensive knowledge of internal business practices and priorities to proactively response to daily issues and requests.
Minimum of 2 year associated degree in related field, Bachelor’s degree preferred.
Minimum of 5 years executive administrative support.
Advanced command of Microsoft Office Suite (Word, Excel, PowerPoint).
Solid knowledge and understanding of CRM systems.
Excellent written, verbal and listening communication skills using pleasant interpersonal skills.
High level of accuracy, attention to detail and ability to proof one's own work as well as the work of others.
Able to assess work load and re-prioritize as needed, handling multiple tasks under tight deadlines.
Maintains an advanced degree of confidentiality and sense of urgency.
Ability to work under pressure as well as the ability to deal with interruptions and other unexpected events and make necessary adjustments.
Ability to influence and persuade various internal and external constituents to drive projects to completion.
Ability to interact with all levels of management and staff.
