The Education Program Assistant in the Office of the Dean of the College of Business and Public Affairs shall have the responsibility of assisting with administrative duties, management, research, office management, data collection and entry and other assignments to assist the Dean, Assistant to the Dean, Associate Deans, and Administrative Assistant to the Dean with overall operations for the College of Business and Public Affairs. The incumbent will work with minimum supervision, make sound decisions and execute tasks in a timely and professional manner. This position must be knowledgeable of the programs within both the School of Business Administration and the School of Public Affairs to assist faculty, staff, and students. The incumbent has approval and signing duties as delegated by the Dean and Assistant to the Dean. Supervision of work study students is included in this position. Position requires excellent grammatical, written and verbal skills, the ability to interact with others, as well as problem-solving skills. This position must project a professional image and work ethic.
Essential Duties and Responsibilities
Utilizes multi-line telephone responding to inquiries regarding College of Business and Public Affairs programs.
Interprets general rules and regulations pertaining to those programs.
Responds to inquiries from the College of Business and Public Affairs website, MBA program website, MSIS Program website and Student Services Center website.
Types office correspondence, memorandums, specialized reports, etc., some of which are complex or of a confidential nature.
Opens and disseminates on and off-campus mail. Processes change of program requests and disseminate information to various departments, determine advisor assignments, and maintain accurate student records.
Assists with the coordination of graduate and undergraduate catalog revisions. Supervises student employees.
Coordinate daily schedule, project assignments, and time card preparation and entry.
Assists with coordination of the Undergraduate Research Fellows program.
Performs delegated responsibilities to assist the Dean, Assistant to the Dean, Associate Dean and Administrative Assistant to relieve him/her of routine details and be exercising independent judgment or decision making in his/her absence as the situation warrants.
Collects, compiles, and prepares materials from the School of Business Administration and School of Public Affairs as requested.
Provides services to students: information processing of program evaluations, change of programs, dropping/adding classes, and registration.
Assist as needed during the registration and orientation sessions.
Provides assistance to the Assistant to the Associate Dean as needed.
Provide support for the Kentucky Real Estate grant, College of Business and Public Affairs Student Services Center, MBA Program and MSIS programs.
Monitor and manage budget for each unit, coordinate supplies and copy services, create and submit PAR’s and work with Accounting and Budgetary Control to correctly report budget information.
Maintains accurate log of all change of grade and course substitution forms.
Provides assistance to the Dean and Assistant to the Dean on AACSB International accreditation related issues as needed.
Schedules and maintains room assignments for the College of Business and Public Affairs for all classes.
Schedules appointments, arrange meetings and reserves rooms, facilities, and resources for meetings and programs.
Makes travel arrangements for the Assistant to the Dean and others as directed by the Dean. After coordinating trips, prepares/submits requests for travel approval and vouchers for reimbursement of expenses.
Prepares and submits check requests, purchase requisitions, interaccount requests, and other University forms when necessary.
Maintains staff vacation and sick leave records for the Student Services Center and submits those online.
Prepares online payroll entry for the office employees and student employees and maintains necessary records relating to timesheets.
Assists in the coordination efforts related to the publication of the periodic College of Business and Public Affairs Alumni Newsletter.
Responsible for the generation and maintenance College of Business and Public Affairs student information database related to the formal admission process into the College of Business degree program.
Responsible for the generation and maintenance of the MBA and MSIS program database.
This includes tracking information on prospective and current students, as well as, MBA and MSIS program alumni.
Assists in the assessment efforts related to the MBA program.
The incumbent will be responsible for the distribution, collection, and compilation of assessment data.
The incumbent will additionally be responsible for the generation of reports for the MBA Program Director relative to the programs assessment efforts.
Responsible for the coordination of mailings to MBA and MSIS students as needed.
Other Duties and Responsibilities
Performs other duties as assigned by supervisor.
The Education Program Assistant reports to the Assistant to the Dean/ MBA Program Director of the College of Business and Public Affairs. Incumbent interacts, with administrators, faculty, staff, students and the general public on a daily basis.
Associates degree in Business, or Secretarial Studies, or equivalent course work and three years related administrative office experience, or High School diploma or G.E.D and 6 years related administrative office experience. Must possess excellent grammatical, written and verbal communication skills. Must be able to type 50 words per minute at a corrected rate. Ability to operate a computer and maintain databases in Microsoft Excel and Access.
Additional Desirable Qualifications
Bachelor’s degree preferred. Experience in an academic setting is desirable.
Routine office environment with interruptions and noise due to frequency of visitors, students, faculty, staff and caller. Some pressure may be expected on the job depending on the frequency and number of visitors and callers and the meeting of various job deadlines. Overtime may be required during emergencies.
