  • Employee Relations
    • Evaluate employee concerns and address accordingly
    • Provide input to Senior Manager, Human Resources for issues requiring escalation
    • Manage Service Award program
    • Identify employee morale issues and provide recommendations
    • Conduct Exit Interviews, compile data, and report as required
    • Manage HR Communications in conjunction with Marketing & Communications department
  • Payroll
    • Backup HR Administrator for Payroll
      • Process bi-weekly payrolls (ADP)
      • Process bi-weekly 401(k) funding for each payroll
      • Facilitate per pay period, quarterly and annual reconciliations
      • Administer and reconcile payroll billing
      • Balance PTO accrual
      • Respond to payroll-related questions
      • Respond to and process all employee financial verifications (mortgage applications, child support orders), advances (expats), and liens
      • Process payroll changes
  • Benefits
    • Process all enrollments internally (HRB and PayEx), and externally (carrier submission)
    • Process monthly benefits billing, including reconciliations for new hires and terminated employees; and AWP departmental and Agua breakouts
    • Participate in benefit plan design.
    • Lead annual Open Enrollment – review and audit all annual enrollments for accuracy; conduct ongoing audits as necessary
    • Manage carrier connections
    • Process Leaves of Absence, coordinate associated compensation and benefits, and facilitate return-to-work process
    • Respond to benefits-related questions
    • Create and maintain reporting
  • Recruiting
    • Manage open position process from requisition through close
      • Prescreen
      • Interview
      • Lead interviewer de-briefs
    • Maintain open position postings
    • Maintain and update recruiting report (open positions, fill time, cost per hire)
    • Complete and send offer package
    • Facilitate criminal background checks, pre-employment physical/drug screen, and employment/education verification
    • Perform reference checks
    • Schedule candidate interviews and travel as necessary
    • Administer candidate expense reporting process
    • Process new hire information for Spain HC
  • On and Off Boarding
    • Lead HR Orientation, including: benefits enrollment; Guidebook and Policy review; compliance (I-9, W-4’s); EZLM training. Manage receipt and submission of all required documentation
    • Reconcile terminated employee final pay, including PTO payout
    • COBRA administration/notification
    • Conduct exit interviews and related reporting
  • HRIS and EZLM database maintenance
    • Input all changes (new hires, terminations, compensation, personal data, benefits)
    • Create and maintain required reporting
      • International Staff Report
      • Organization Charts
      • Headcount budget
      • Safety timekeeping
      • Overtime
    • Participate in system maintenance and upgrades
  • Other
    • Maintain and update Intranet HR page (SharePoint)
    • Maintain HR ISO documents in most updated version
  • Additional responsibilities as assigned
      • Manage Unemployment Insurance billing and claims through payroll provider
      • Manage Workers Compensation billing and claims through insurance provider, and directly for monopolistic states
    • 401(k) administration
      • Communication, participation, and enrollment activities
      • Manage compliance initiatives (e.g. 5500, discrimination testing)
      • Participate in fiduciary reviews
    • Utilize E-Verify as required
  • Immigration
    • Monitor and maintain contact with immigration attorneys
    • Identify and assist employees with required forms and paperwork
    • Complete required reporting and submit to appropriate regulatory agency (5500’s, EEO-1)
  • Bachelor’s degree or equivalent work experience
  • 3-8 years of related experience
  • Demonstrated knowledge of payroll and benefits processes, and compliance requirements
  • Ability to be entrusted with confidential and sensitive information
  • Excellent attention to detail, organization, customer service, and analytical skills, and judgment
  • Working knowledge HRIS programs, ADP a plus
  • Strong working knowledge of Microsoft Suite, with a strong emphasis on Excel
  • Previous Sharepoint experience a plus
