Provide administrative and logistical support to the VP, Global Engineering and Engineering department.
Type correspondence for the assigned Vice Presidents or department(s) to include letters, memos, forms, policies, procedures including handling of confidential information.
Provide administrative support to include telephone coverage, e-mail monitoring, mail handling, Power Point preparation, supplies control, Excel spreadsheet preparation and all necessary communications internally and externally.
Assist in the management of schedules of each individual. Maintain attendance calendar of key management personnel
Open and sort mail, determining level of priority.
Schedule and organize complex activities such as meetings, travel, and department activities.
Create and develop visual presentations as requested by Vice President or department(s).
Manage Engineering departmental supplies.
Provide logistics support for international visitors.
Provide general procurement support for Engineering Department.
Create and maintain ISO procedures within the HQMS system.
Manage Engineering and PMO SharePoint sites.
Manage Engineering departmental training program and employee qualification records.
Provides support to other departments as required.
Perform special projects as assigned by Vice Presidents or department(s).
Work independently and within a team on special and nonrecurring and ongoing projects.
Act as a project manager for special projects, at the request of the Vice Presidents or department(s), which may include:
planning and coordinating multiple presentations, diss eminating information and organizing company-wide events.
Maintain NPD Engineering Hour tracking system
Assist in tracking and reporting NPD project financial data, including SPDA data collection and preparation.
Support PMO with tracking and reporting of parts release data.
Assist in preparation of Gate presentations and other Phase Gate Reviews.
Prioritization and Process Excellence
Develop administrative process to simplify executive or departmental interaction with priority tasks
Create and maintain file and reference system to optimize decision making process
Develop method to improve time management for Vice President's direct reports and/or department.
Predetermine critical tasks and appropriate actions
KNOWLEDGE & SKILL REQUIREMENTS
Proficient in Microsoft Office Suite; excellent spelling and grammar, good phone skills, organized, careful attention to detail, time management, set priorities.
Meets deadlines, carefully proofs own work.
Microsoft Project, Sharepoint and Oracle experience desired
Basic computer skills. Ability to follow written instructions
