Under direction of the COO, the Administrative Assistant is responsible for supporting the COO and the administrative staff through a variety of general clerical duties, including but not limited to assistance with internal and external communications (faxes, mail distribution), data entry, etc.The Administrative Assistant should be flexible, accurate, enjoy working with people and tackling new assignments, and thrive in a collaborative team environment. Fluency in English is a must, with additional conversational ability in Chinese (Cantonese/Mandarin) preferred.
Provide administrative support and project assistance to the Medical Director.
Support the administrative staff with answering phone calls, internal requests for assistance, and projects
Responsible for internal and external communications as assigned
Gathers necessary signatures and approvals for checks, forms, etc.
Manages conference room schedules and assists in planning and preparing for meetings.
Takes and prepares meeting minutes for various internal meetings, as needed.
Assists with travel arrangements, as needed.
Perform data entry for provider productivity reports.
Assists with filing and maintenance of central files, both on paper and electronic.
Assists and performs other duties as assigned by supervisor(s) per operational need.
High school diploma with 2 years relevant work experience.
Fluency in English.
Conversational ability in Chinese (Cantonese/Mandarin) a plus, but not required.
Great verbal and written communication skills.
Detail-oriented and accurate.
Enjoys working with people.
