The Event Assistant provides overall administrative support to the staff of the Event Department.
•Assist with general Event needs including, but not limited to performing invoicing and accounts receivable functions for the department’s billing; supporting staff in assigned project-based work; and performing general clerical duties of data entry, photocopying, faxing, mailing, and filing as needed.
•Oversee the maintenance of appropriate inventory, literature, and sales tools for display and marketing kits.
•Assist with production of show books, flyers, master schedule, pricing information, order sheets, related booth materials, and leads tracker for each show.
•Assist with the maintenance of trade show kits, trade show booths, floor and table tops
•Responsible for the compiling, shipping, and receiving of show materials.
•Assist with the coordination of internal sales meetings.
•Assist with the management of banquet event orders, hotel, airline and/or ground shuttle accommodations, vendor events, vendor tradeshows
Minimum Experience and Education:
A college degree is preferred and at least two years of related experience are required. Must be proficient with the Microsoft Office including Outlook, Word, Excel, and PowerPoint. MS Office 2007 or higher experience preferred. Must be self-directed, have strong detail-orientation, strong organizational, and communication skills (both oral and written) and the ability to follow-through on projects. Must be able to interpret a variety of instructions from multiple team members, and prioritize demands and deadlines as necessary. Should demonstrate a comfort with taking initiative on requests and inquiries, and a willingness to learn more about processes and procedures in order to improve efficiencies where possible.
