Essential Duties and Job Functions:
Participates in the organization and coordination of both domestic and international conferences, tradeshows, exhibits, ad board meetings, launch events, and tradeshows.
Individuals in this role may focus on a particular therapeutic area.
Produces pre-event preparation communications and post-event analysis including event metrics.
Coordinates the shipping and receiving of convention supplies, signage and equipment.
Coordinates and leads workgroup meetings that involve cross-functional members.
Conducts site visits and evaluates vendor services and venues according to industry standards and stakeholder requirements.
Manages event budget and is tasked with making budgetary decisions based on experience and perceived value.
Budget responsibility includes initiating purchase orders, check requests, honorariums and generating monthly reports on expenditures against budget.
Initiates the design and production of invitations, promotional materials and program materials for delivery to key customers and events.
Interacts regularly with key Gilead stakeholders. Understands their requirements for various events and follows up to accomplish tasks.
Knowledge, Experience and Skills:
2+ years of related experience and a BS or BA degree in marketing or equivalent.
Experience in event planning including vendor management or prior experience with event logistics vendors required.
Experience in biotech or pharmaceuticals industry a plus.
General knowledge of industry practices, techniques, marketing concepts and principles is required.
Must have familiarity with service contracts and terms related to vendor contracts.
Must possess solid organizational skills, excellent written and oral communication skills, attention to detail, high-level customer service skills, positive attitude and the intelligence and resourcefulness to get the job done.
Must have a professional demeanor and be able to represent Gilead appropriately in interactions with senior management and guests of all levels.
Must be able to apply logic and problem solving skills under pressure and adapt to change.
Able to be successful working independently as well as within the context of a team.
Must be proficient in Microsoft Word, Excel and PowerPoint.
