This position serves as the primary event planner for assigned events, including Presidential Advisory Council (PAC), Care Councils (Gives, Hispanic), Team 31 monthly/quarterly/annual employee events, Thirty-One Gives events, etc. Responsible for leading all aspects of logistical planning for events, including but not limited to physical location, food and beverage, housing, and attendance strategy. Anticipates project needs, manages work priorities, and meets deadlines with little supervision.

Essential Duties/Tasks/Responsibilities

Percent of Time Spent Essential Duties/Tasks/Responsibilities:

80% Event Planning
• Participates in negotiations for and implementation of space contracts, event venue, food and beverage, other supplies, audiovisual equipment, travel arrangements, and other necessities for each event to meet the branding expectations of Thirty-One Gifts
• Partners with Purchasing to prepare and modify event contracts
• Work with the department manager on event contract negotiation for travel and transportation, etc.
• Meets the branding expectation of Thirty-One Gifts by arranging event venue, food and beverage, event supply, audiovisual equipment, travel arrangements, and other necessities for each event.
• Leads the creation and finalizes room layouts for each event
• Work in partnership with the live experience team to deliver audio visual for field events
• Gather necessary information on each project to achieve quality event productions
• Conduct research, make site visits, and find resources to help staff make decisions about event possibilities
• Create and finalize room layouts for each event
• Prepare all necessary material for each event, including all handouts, packages and other materials
• Provide periodic progress reports to Manager, Events for each event project on projected vs. actual expenses
• Responsible for managing all electronic purchasing requests for the department
• Manage the events tab on Thirty-One Today for assigned events, including developing copy, event FAQ’s, etc. in collaboration with the Communications department
• Work in collaboration with internal departments to coordinate annual events as needed (i.e., Human Resources)

20% Event Production
• Ensures all logistical elements are completed as planned
• Leads on-site event production, close out process and clean-up of each assigned event
• Execute registration for all assigned field events
• Travel throughout the year as needed to support Thirty-One events

This position may be required to execute special projects or other related duties based upon the needs of the organization and department.

Job Requirements

Essential Requirements:

Education: Bachelor’s degree or equivalent experience in hospitality industry or a combination of education and experience

Experience: 3+ years of event planning or related experience

Skills:
• Demonstrated ability to build relationships with internal and external customers
• Strong contract negotiation skills
• Excellent communication skills, including: writing, proof reading and speaking
• Exceptional time management skills and the ability to work flexible schedules
• Ability to manage multiple projects and work assignments from a variety of staff and departments
• Excellent interpersonal skills both in person and by phone, with high degree of professionalism
• Ability to accomplish projects with little supervision
• Fantastic customer service ethic and high expectations for quality
• Proficient using the latest versions of Microsoft Word, Excel, and mail merges; email and web searches
• Ability to create, manage, and administer event registration systems

Preferred Requirements:
• Certified Meeting Professional
• Experience in the hospitality industry
• Direct Selling experience a plus

Working Environment
Works occasional evenings and weekends
This position requires domestic travel and occasional international travel
