The Events Planner will plan, organize and execute conference logistics from initial stages of development (including review of venue contract, attrition, rebates, commissions, cut off dates, etc.,) through on-site, conference wrap-up and evaluation for all assigned conferences.
· Work with conference manager to produce hotel specifications, menus and on-site logistics.
· Work with conference manager to produce and manage audio/visual specifications and special events.
· Prepare conference requirements for approval by manager: rooms, food, meeting facilities, and audio.
· Oversee travel and hotel arrangements for attendee and conference staff for events. Conduct test calls and make adjustments/corrections as needed.
Negotiate prices with outside vendors for bags, binders, temp, GES, photography services, etc. and prepare proposal for manager approval.
· Assist in creation of vendor RFPs: detailed specs, identifying prospective vendors and determining selection process and criteria.
· Assist conference manager with the planning and management of on-site programs.
· Answer inquiries from internal and external clients about conferences (i.e., pricing, eligibility requirements, agenda, etc.)
· Process conference registrations and prepare registration reports.
· Manage temporary staff for conferences.
· Assist with site selections and coordinate hotel contracts for future events: work with manager on researching event history, analyzing specific program needs, researching venues, organizing site inspections and create short list of recommendations.
· Work with manager to track and reconcile conference expense budgets.
· Responsible for completing additional tasks as assigned.
Job Requirements
· Approximately 4 years of business meeting planning experience is required.
· Proficient to advanced MSW and Excel skills are required. PPT is a +.
· Bachelors Degree or equivalent is required; concentration in hospitality management a +. MPI or similar certificate a +
· Good knowledge of hotel, travel, meeting planning business is required, particularly in terms of normal service expectations and negotiations.
· Strong communications and public relations skills; ability to liaise with senior level clients and associates.
· Ability to train temporary staff at meetings.
