This position advances the mission of Denver Zoo by playing a key role in the success of Denver Zoo events by contributing to the planning, organizing and coordination of more than 60 zoo-wide events to meet a variety of institutional goals. This position will also provide assistance to Denver Zoo’s corporate rentals program.
This position is tasked with researching costs for rentals and materials, coordinating entertainment for events, maintaining event supplies and materials inventory, recording event team meeting notes and minutes, assist corporate rentals program throughout the year and physically assisting with event set-up and removal.
•Researches costs for event rentals and materials providing detailed cost analysis and comparison between multiple vendors, maintaining detailed purchase logs and vendor contact database.
•Maintains event supplies and materials inventory while keeping a detailed spreadsheet tracking supply and material usage and disposition.
•Serves as recorder for all event team meetings keeping notes and records as well as distributing minutes.
•Assists with event set-up and removal.
•Manages the entry and upkeep of event bookings and comments in Denver Zoo’s facility database.
•Coordinates entertainment booking and logistics for events.
•Maintains detailed and updated event summaries for each zoo event.
•Assists with private party logistics; including customer communication and contractual logistics.
•Provides support with site visits, phone calls, on-site logistics for day of private events, process event payments and provide general backup year round.
•Maintains a flexible work schedule, including some Saturday, Sundays and evenings.
•Provides back-up assistance for corporate rentals.
•Have some knowledge on all Marketing Department programs and activities to answer any zoo staff and/or general public questions about events, public relations, marketing, and corporate rentals.
•Assists with preparing annual budget and annual goals for events.
•Performs various tasks as assigned.
•Bachelor’s degree in marketing, event management, journalism, communications, or related fields or a combination of education and job-related experience.
•One to three years of related experience.
•Strong analytical thinking, problem solving skills and communications skills (both written and oral) with attention to detail.
•Proven ability to successfully handle multiple projects and meet critical deadlines.
•Proficiency with Microsoft Office applications, with a strong knowledge of Excel.
•Respect for confidentiality.
•Creativity and innovative thinking.
•Ability to work as a productive member of a team.
•Bilingual in English and Spanish.
