Reporting to the Head of Corporate Communications, the Events and Special Programs Manager is expected to share in bringing new innovation and efficiency to events and programs hosted and sponsored by RichRelevance. This role is responsible for planning, organizing, executing and managing all major events hosted by RichRelevance which includes thought leadership roundtables, Customer Advisory Summits, client/agency on-site functions, industry conferences, exhibitions, etc. The Events and Special Programs Manager serves as the staff representative at all RichRelevance events and represents the company’s brand and mission from the initial planning to implementation of all events. This role is also responsible for all operational, implementation and post-event ROI tracking/activities.

Responsibilities:
Event Design and Execution

Translate marketing and sales objectives into creative, unique experiences (visual, multi-media, presentations) designed to further educate and affiliate prospects and customers with {rr} thought leadership, offerings and solutions

Work closely with internal counterparts to identify/prioritize events for our two BUs and define event goals, objectives and specific implementation plans that support the highest outcomes

Maintain calendar of events and implement a system that enables and anticipates long-term planning and effective event management

Work cross-functionally to plan, organize and execute events throughout the organization. For each event:

o Establish a timeline and budget
o Develop target attendee lists
o Set marketing and communications strategies
o Lead/manage trade show booth programs including requirements for booth staffing, collateral, giveaways and lead generation
o Complete all logistics for speaker arrangements, including venue location, staffing level and assignments.
o Provide cheatsheet to all event staff in advance of event with all required details

Work with Marketing Communications Manager to update calendars/web pages and capture media at events

Event Communication and Measurement

Work with Head of Corporate Communications and Sales team to develop all email communications pre/during/post event (invitations, booth promotions, pre-event webinars, etc.)

Create and standardize post-event survey template and implement regular surveys to measure event success and year-to-year effectiveness of recurring events

Gain proficiency in usage of Marketo’s event module with the goal of tightly integrating event programming and exeuction into our lead scoring and lead nurturing initiatives

Vendor Management

Provide vendors with guidelines and other planning tools that will enhance the quality of the event and increase the efficiency of planning and implementation

Establish and maintain effective relationships and communications with vendors and other key partners, with a keen sense for negotiating the best deal when possible

Source and initiate partnerships with new vendors

Establish and manage contractual agreements, seek review and approval from CMO

Industry Relationships

Identify, source and maintain RichRelevance’s relationship with key industry associations that support sales teams’ efforts in key markets

Qualifications:
Have a minimum of three years' experience with event planning - preferably in the digital marketing, publishing or enterprise software sectors

Knowledge of basic accounting for budgeting building and tracking purposes

Have outstanding project management, organizational, analytical, planning, and interpersonal skills

Demonstrate excellent oral and written communications skills

Have the ability to be part of and support a team environment

Be willing to for travel and have flexibility for weekend/evening commitments

Experience with Salesforce and Marketo a plus

Expertise using Eventbrite, Pingg, or other basic event management software

Familiarity with PowerPoint and Excel
