This position reports to and provides administrative support for multiple Capital Division office executives. This is a wonderful opportunity for a professional focused on excellent customer service and attention to detail, but also looking for opportunities to learn and grow within the HCA-VA system. Duties include but are not limited to:
  • Manages executive correspondence, both written and electronic
  • Manages complex calendars, travel schedules and travel arrangements for multiple executives
  • Answers telephone in professional manner and routes calls as appropriate
  • Handles complaints in a courteous and professional manner
  • Assumes responsibility for incoming mail opening and distribution
  • Maintains current and accurate filing system
  • Completes tasks assigned by immediate supervisors in a timely manner
  • Keeps an open line of communication with other administrative assistants, division executives and staff, and facililty executives/other internal and external personnel
  • Maintains strict confidentiality regarding executive and division activities and information, according to policy and procedures

Requires high school graduate or GED. Business school or college graduate highly preferred. Also requires previous secretarial and/or administrative assistant experience, or a suitable combination of training and experience, in support of an officer/executive-level official in a similar organization. Must have advanced Excel and PowerPoint skills and advanced Microsoft Office skills. Must be able to handle confidential information appropriately. Documented professional correspondence and communication skills required. High degree of flexibility required. Must have good interpersonal skills and organizational skills. Ability to multi-task and work independently with minimum supervision required. Must be detail oriented. Ability to effectively communicate and to work and participate in a team environment within and across departments required.
