What You'll Do
for John Deere, you will arrange travel for the Vice President and 4 Global Directors/Supply Management Managers, including Visas and Passports. This also includes coordinating all logistics for domestic and international trips and creating/processing foreign visas. In addition, you will:
Enter and process travel expense reports on behalf of the Vice President.
Create and process purchase orders in the common purchasing system.
Develop and maintain SharePoint sites; manage videos utilizing several software programs and distribute to over 1000 employees. Produce complex reports and presentations utilizing confidential information.
Provide on-site support and access for various consultants and serve as a point of contact.
Research approved suppliers, manage purchase requisitions and entries into Central Purchasing System; Ensure accuracy of and approve E-invoices on behalf of Vice President and Directors.
Provide supervision and coaching to one contingent administrative assistant.
Prepare and distribute announcements and other communications for the Global Supply Management organization.
Complete and manage PMAC's for senior staff and their direct reports.
Maintain appointment calendars on behalf of Vice President and global directors.
Create and maintain sensitive records and external communication on behalf of the Vice President.
Create and manage requirements for office supplies.
What It Takes
We need an excellent communicator, who thrives on solving problems and working in a team environment. Ideally, you will have a Bachelor’s degree in Business/Management or equivalent work experience. We also require:
Secretarial or administrative assistant experience.
Project management experience.
Excellent written and verbal communication skills.
Superior interpersonal, negotiation and conflict resolution skills.
Experience maintaining confidential data.
Experience in writing, editing, media relations and speech writing.
Experience using Microsoft Excel, Word, PowerPoint, Access, Project and other Microsoft tools.
Proficiency issuing and processing purchase orders.
Website management skills.
Ability to multi-task and prioritize multiple projects.
Ability to work with high levels of management.
Ability to initiate action and manage office without frequent or detailed work instruction.
Ability to travel domestically and internationally, up to 5%.
Ability to provide occasional support for evening meetings/events.
A strong candidate will also have:
Experience balancing budgets.
Experience creating and processing foreign visas.
