Description of duties and responsibilities:

This position provides administrative support, primarily to the Senior Vice President of Finance, but potentially others in the executive organization, as required. This position requires the utmost discretion and ability to handle sensitive and confidential company information and documents. Duties include global communications, analysis, prioritization and executive level administrative support. A professional demeanor and approach are critical. Specific duties include but are not limited to:

· Prepare and edit correspondence, communications, presentations and other documents

· File and retrieve documents and reference materials

· Conduct research, assemble and analyze data to prepare reports and documents

· Design and maintain databases

· Manage office supplies budget, ordering and invoicing

· Compile, document, reconcile and submit travel and entertainment expense reports

· Manage and maintain executives schedules, appointments and travel arrangements

· Arrange and coordinate meetings and events

· Record, transcribe and distribute minutes of meetings

· Monitor, respond to and distribute incoming communications

· Answer and manage incoming calls

· Receive and interact with incoming visitors

· Liaise with internal staff at all levels

· Interact with external clients on a limited basis

· Co-ordinate project-based work

· Review operating practices and implement improvements where possible

· Provide proactive team support / backup to colleagues

· Maintain calm and professional presence under stress

Education and experience required:

· Associates Degree in Business or a related field.

· Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite

· Knowledge of standard office administrative practices and procedures

· Excellent command of English grammar and usage

Preferred:

· Bachelor Degree

· 3-5 years of experience in an Executive Administrative Setting
