We are currently searching for a full-time Executive Administrative Assistant position at our facility in Cincinnat, OH.
Organize Executives’ schedules; schedule appointments; ensure meeting coverage when appropriate
Promptly & courteously answer phones/inquiries, screen calls, take messages as appropriate, or trouble-shoot the call and either handle the request of the caller or direct caller to appropriate contact
Handle all requests professionally & appropriately; coordinate calls and/or appointments
Screen visitors and “walk-ups”, and escort guests in the front door as appropriate
Schedule and coordinate Executives’ travel arrangements – flights, hotel, ground transportation, customer events
Perform a variety of administrative duties (follow-up systems, filing, typing, order office supplies, prepare and audit expense reports, etc.)
Coordinate materials for Executive team meetings as well as other team meetings as appropriate
Open, sort, and organize mail, mailings, and other correspondence; respond to mail/correspondence when appropriate
Participate with clerical elements of Executive-level presentations as needed (e.g. monthly policy deployment process, Board presentations, business strategy presentations, etc.)
Create/update graphs and spreadsheets for monthly Executive reporting
Manage changes to organizational charts
Compose customer correspondence, announcements, and management minutes as needed
Work with HR to coordinate company-wide activities and events
Coordinate in-house Executive lunch meetings as requested
Positively interact and communicate with all levels of the organization and all levels of our customers' organization
Research and/or gather information as needed/requested
Generate reports as needed/requested
Other duties or projects as assigned by the Executive team
High school diploma or general education degree (GED); or 3 to 5 years related executive administrative experience and/or training; or equivalent combination of education and experience.
Advanced knowledge and experience with Microsoft Office, particularly Word, PowerPoint, and Excel, and Outlook.
Strong customer orientation, both internally and externally
Strong oral and written communication skills
Ability to handle multiple projects and tasks simultaneously
