Executive Administrative Assistant (Ft. Lauderdale, FL)

General Summary
The Executive Administrative Assistant provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Essential Job Functions:
· Manage and maintain executives' schedules
. · Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software
. · Make travel arrangements
· Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
· File and retrieve corporate documents, records, and reports
. · Prepare responses to correspondence containing routine inquiries
. · Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
. · Prepare agendas and make arrangements for committee, board, and other meetings
. · Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors
. · Compile, transcribe, and distribute minutes of meetings
. · Conducts other duties as assigned

  • Ability to adjust direction in response to changing work situations. Superior organizational and interpersonal skills as well as problem-solving, negotiation and follow-up skills
  • Ability to organize and coordinate multiple projects in a timely manner
  • Excellent verbal and written communications skills and a demonstrated ability to maintain confidentiality
  • Excellent word processing, spreadsheet and database computer skills
  • Must possess advance skills with PCs and Microsoft Office, especially Outlook, Word, Excel, and PowerPoint.
  • Strong accuracy and attention to detail and ability to work with little guidance
  • Excellent interpersonal and communication skills and ability to work well with staff at all levels
  • Strong customer service skills with an upbeat, positive attitude
  • Must be legally authorized to work in the U.S. for any employer without sponsorship
  • Must be able to pass a Drug and Alcohol Screen, and FBI Fingerprint 10 Year Criminal Background Check

Education and Experience
· A minimum se

ven 3 - 5 years of relevant work experience (must include significant experience including supporting senior executives) · Bachelor degree or above preferred Physical Requirements · Sight: Must be able to see well enough to read reports · Hearing: Must be able to hear well enough to communicate with customers, vendors and team members.
· Standing/Walking: Must be able to move about department
· Climbing/Stooping/Kneeling: Must be able to stoop or kneel to pick up paper products
· Lifting/Pulling/Pushing: Must be able to lift up to 20 pounds repeatedly
· Fingering/Grasping/Feeling: Must be able to type and use technical sources
· Working Conditions: Normal working conditions absent extreme factors
