OpenView Venture Partners, a venture capital firm in Boston, is looking for an Executive Assistant to support OpenView’s investment team. We are looking for someone who has previous experience working at a venture capital firm or investment firm.
This person will provide high-level administrative support by hosting visitors, managing calendars, preparing reports and handling information requests. In addition the Executive Assistant will be responsible for clerical functions such as answering phones, preparing correspondence, scheduling meetings, coordinating travel and arranging conference calls for the firm’s Managing Director and senior members of the investment team.
Specific Duties & Responsibilities
Schedule and manage demanding calendar for the managing director and potentially senior members of the investment team.
Arrange and coordinate travel schedules, accommodations and all trip logistics.
Organize, plan and maintain logistics for business meetings including hosting and greeting all visitors to OpenView’s offices who arrive for meetings with the investment team.
Prepare reports, memos, letters and other documents using Microsoft Office Suite.
Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution internally.
Open, sort and distribute incoming correspondence including faxes and mail.
File and retrieve corporate documents, records and reports as needed for the managing director and investment team.
Prepare responses to correspondence containing routine inquiries.
Organize office operations and communicate procedures, maintain office space and equipment, monitor and replenish supplies.
4+ years of related experience in an administrative role supporting multiple executives or senior team members.
Excellent organizational and prioritization abilities with meticulous attention to detail.
Ability to execute effectively against multiple projects and deadlines.
Strong interpersonal and communication skills with instinctive ability to build and nurture relationships.
Incredibly proactive; able to anticipate and resolve issues.
Proven time management skills with the ability to handle multiple tasks and remain cool under pressure.
Highly proficient in Microsoft Office Suite and an ability to learn additional project management and collaboration tools.
Ability and flexibility to work outside of regular business hours on occasion.
