The Department of Obstetrics, Gynecology and Reproductive Sciences is a comprehensive and highly active Department at the University of California, San Francisco (UCSF) with broad focus on clinical, research and training activities at the Parnassus, Mt. Zion, Laurel Heights, SFGH campuses and multiple satellite locations throughout California. As the Executive Assistant to the Chair, the incumbent will manage multiple, complex projects on behalf of the Chair; serve as liaison to the campus community, faculty, staff and external organizations and provide assistance in the absence of the Chair; will manage the administrative functions of the Office of the Chair assuring utmost service and flawless operation; will coordinate faculty searches and organize executive meetings; will draft and edit correspondence and also generate reports as required; will co-manage publications and reports; will coordinate and oversee Department events as designated by the Chair; will supervise Office of the Chair’s administrative staff providing leadership and guidance; will perform other duties as assigned.

All aspects of this position focus on creating and maintaining an appropriate, professional, tasteful and functional environment in and for the Chair’s Office and the Department. This environment includes all forms of correspondence, physical space and professional and social events and interactions for an active and growing department. Required Qualifications BA/BS with a major in a related field and two years of related experience in academic administrative analysis or operations research; or an equivalent combination of education and experience; project management experience; executive office management knowledge; knowledge of University and Medical Center organizational structure; ability to problem-solve and triage situations, take independent action and handle multiple assignments simultaneously; Project Management; excellent Interpersonal skills; strong oral and written skills; knowledge of computer software; extraordinary organizational skills; broad knowledge of institutional policies, procedures, rules and practices; ability to coordinate multiple activities and to track the same; strong planning and decision making ability; customer service skills (congenial, fair and consistent); troubleshooting ability; ability to work independently and as part of a team; attention to detail and follow up; able to multitask with precision and attention to detail- required; understands academic endeavors.

Note: Fingerprinting and background check required. Preferred Qualifications Master’s in Public Health; Working knowledge of UC accounting and purchasing policies and procedures; someone with initiative and the ability to establish systems; strong interest in Women’s Health; experience in quality improvement activities; supervisory skills; positive attitude and sense of humor.
