We are looking for an
experienced Executive Assistant to support the Managing Director of Studio
Neuro, Nielsen’s neuro-powered creative design services and consulting team.
This person must be exceedingly well-organized,
flexible, resourceful, have a team-oriented attitude, be able to work
independently with little or no supervision, and enjoy the administrative
challenges of supporting a senior executive.
The ability to interact
with Nielsen staff and clients at all levels, in a fast-paced environment,
under pressure, remaining flexible, proactive, resourceful and efficient, with
a high level of professionalism and confidentiality is crucial to this role.
Strong communication skills and the ability to communicate comfortably,
efficiently, and effectively with high-level internal Nielsen and external
client executives in all forms (phone, email, and in-person) are necessary to
succeed in this position. This person must maintain a professional, pro-active,
positive, client-service oriented approach to communicating with high level
clients, internal senior management, and all company personnel. Utilizing
strong decision making ability and attention to detail is essential.
Maintain calendars and manage all travel and meeting arrangements
for the Managing Director
Prepare/submit expense reports and invoices as needed
Manage and track all departmental expenses
Plan and schedule onsite and offsite
meetings. This includes securing equipment, handling catering,
booking hotel and travel, and handling transportation
Set up internal team and client conference calls as
Anticipate and prepare materials needed by the
executive for meetings, correspondence, appointments, etc.
Interface closely, professionally, and productively
with key individuals within Nielsen and different client organizations
Establish and maintain systems for tracking deliverables,
timetables, and progress on client-related and internal Nielsen/Studio
Prepare special reports, summaries of meetings/conference
calls, or replies to inquiries, proactively gathering and assimilating relevant
information from a variety of sources
Make independent decisions regarding planning,
organizing, and scheduling work for self and others
Support other senior level team members as required
Other miscellaneous administrative duties as required
Excellent task management skills, especially including
the coordination of complex domestic and international travel and meeting
logistics that incur frequent and urgent alterations due to fast-changing
business conditions and schedules
Ability to work regularly and effectively with Nielsen associates
and client executives across international time zones in multiple
Flexibility in terms of accommodating work hours called
for in the course of Studio Neuro’s projects with clients outside U.S. borders,
including after-hours and weekends
Strong knowledge of MS Office Word, Excel, and Outlook.
PowerPoint skills highly desirable
Ability to manage multiple projects on different
