Job Description:SUMMARY:
The Executive Assistant is responsible for performing a
wide variety of complex tasks requiring initiative,
discretion, independent judgment, and a solid freight
forwarding working knowledge and / or organization
management. Qualified candidates must be able to conduct
all business in a professional, respectful manner and
thrive in a fast paced, teamwork environment while
handling a variety of duties. This position supports the
Senior Vice President, Americas and the Vice President,
U.S. Operations.

Essential Duties and Responsibilities:
  • Schedules, manages, and maintains Executives'
schedules, appointments, and travel arrangements
  • Manages Executives' expense reporting, validates
exchange rates, transaction fees, and other expenses
are appropriately reported and compensated
  • Facilitates communication between individuals at all
levels within the organization, responds to requests
for information, and occasionally answers emails or
sends communication on behalf of Executives
  • Assists in preparation of meeting planning, meeting
agendas, presentations, and other materials;
Arranges and coordinates meetings and events
  • Conducts market research, assembles, and analyzes
data to prepare reports and documents
  • Interacts with executives, customers, vendors, and
employment candiddates
  • Backs up receptionist as required and coordinated
with Executives
  • Performs other responsibilities and completes tasks
as directed by Executives
  • Keeps promotional materials ready by validating
relevance, coordinating requirements with Global
Marketing; maintaining sufficient local inventory
  • Supports Commercial team by providing sales data,
market trends, forecasts, account analyses, new
product information; relaying customer services
  • Researches competitors by indentifying and
evaluating product characteristics, market share,
and pricing; maintaining research databases
  • Supports Commercial team with trade shows by
identifying, assembling ,and coordinating
requirements; establishing contacts; developing
schedules and assignments; corrdinating mailing
  • Updates job knowledge by participating in
educational opportunities; reading trade
  • Accomplishes organization goals by accepting
ownership for accomplishing new and different
requests; exploring opportunities to add value

Job Requirements:Key Competencies:
  • Ability to keep information, its content, intent,
and sources private and confidential
  • Strong information gathering, monitoring, research,
and analysis skills
  • Proven self-starter with time management and
organizational skills
  • Proactive, detail oriented, and able to multi-task
  • Excellent written and verbal communication skills
  • Proven interpersonal skills
  • College degree preferred
  • Five (5) years' experience providing executive level
  • Expert knowledge of Excel, Word, PowerPoint, and
Visio required
  • Freight forwarding experience preferred
