Our San Francisco-based client is a unique global law firm whose clients include some of the largest financial institutions, investment banks. They are currently looking to hire an Executive Assistant who will support a Senior Partner at the firm.
The Executive Assistant will provide administrative and clerical support to litigation Partner and possibly up to 3 other assigned attorneys. The Executive Assistant will need to be lively, confident, and a real team player. The Executive Assistant will also need to thrive independently and not require hand holding. The Executive Assistant must be able to work well in a fast paced environment and multi-task.
Manage calendars by prioritizing appointments and planning and
scheduling meetings, conferences, teleconferences, and travel.
Provide information in preparation of a meeting, e.g. organizational
research, travel information.
Manage relationships with clients both inside and outside of the firm
Ensure operation of office technology, systems and equipment by completing
preventive maintenance requirements; calling for repairs; maintaining equipment
inventories; evaluating new equipment and techniques.
Review documents, correspondence, and confidential information, identifying possible issues and meeting any set deadlines
Manage a complex calendars in Outlook, developing organization systems to coordinate meetings, deadlines, and travel
Provide project and administrative support to staff by drafting correspondence,
word processing, proofreading, finalizing reports/documents, maintaining on‐line
and hardcopy filing systems, and conducting research.
Coordinate all aspects of domestic and international travel, including money conversions, VISA’s, expense reports, hotel accommodations, etc.
Create and complete expense reports, tracking and submitting expenses in an accurate and timely manner.
Five years experience as an executive assistant to a senior law/professional services partner or corporate executive.
Prior governmental and legal secretarial experience preferred.
Typing speed of 70 words per minute desired. Expertise with MS products, including Word, PowerPoint, and Excel preferred.
Ability to keep confidential any information, observations or viewpoints regarding Firm personnel or matters.
B.A. of B.S. required
