Main Duties

General support for 3 senior managers

Maintain calendars for managers

Schedule meetings and associated logistics (conference rooms, voice/video conferences)

Schedule and organize travel, and conferences and prepare travel itineraries

Create and maintain physical and electronic filing system

Organize and prioritize large volumes of information and calls

Take messages or when possible, provide answers to questions

Produces letters, memoranda, presentations, reports, etc.

Tracks expenses for T/E reports; Performs calculations for expense reports and reconciles for managers Credit Card statements each month

Performs other tasks as assigned

Assist in preparation of presentation materials

Assist with various ad-hoc projects requiring knowledge of Excel

Manage travel arrangements for local team

Process expense reports for local team

Set up interviews as required

Manage new employee setup

Manage allocation of new staff position numbers via SAP

Manage/order office supplies

Maintain email distribution lists

Process corporate credit card applications

Provide backup coverage for other admins as required

Person Requirements
Basic Qualifications

2+ years of providing administrative experience to multiple people

Bachelors Degree

Preferred Qualifications

Excellent communication skills a must

Strong interpersonal skills

Strong computer skills (MS Word, Excel, PowerPoint, Outlook, Visio)



Demonstrated initiative and the ability to exercise good judgment; decisiveness and confidence

Ability to perform in a fast paced environment while remaining professional and maintaining a calm disposition

Excellent organization skills; strong attention to detail

Strong time management skills; ability to prioritize multiple tasks efficiently

Flexibility to work overtime if required
