Provide full administrative, organizational and clerical support to both the Senior Vice President, Global Operations and Supply chain and the Vice President, Global Manufacturing. Position requires a person who can prepare and handle sensitive and confidential information with maximum discretion and diplomacy. Position also requires a person with considerable initiative, independent judgment, a capability to manage multiple priorities and a highly developed customer service orientation.
DUTIES AND RESPONSIBILITIES:
Performs a wide variety of administrative duties such as: securing transportation and hotel reservations, contacting other offices and persons to arrange meetings and secure information, developing and maintaining a current filing system and processing a large volume of correspondence.
Schedule and accept meetings and conference calls on the executive’s behalf; coordinate and accurately maintain their calendars, updating continually to ensure that all meetings, calls and commitments are current.
Manage all aspects of travel arrangements, coordinating closely with the travel department/Concur, as needed.
Previews incoming requests and responds to the more routine ones,
Plan on/offsite meetings as required. Follow through with all details of meetings. Travel to offsite meetings as requested.
Perform related duties as assigned which include, but is not limited to; budget preparation, review expense reports submitted by their direct reports for approval, for accuracy and completeness; processing check requests; preparing purchase requisitions and ordering products and services; managing and reconciling the department’s VISA purchasing card; maintaining department files and ordering department office supplies.
High school graduate required.
Bachelor’s degree or business school courses preferred but not required.
Must have a minimum of 3 years of previous experience supporting an executive; a thorough knowledge of administrative procedures; strong verbal communications skills; excellent grammar, and other business English and written/composition skills; topnotch computer experience, including Microsoft Office Suite and Outlook.
Must have great attention to detail; unquestioned capability to maintain confidentiality; a demonstrated ability to effectively interact at all organizational levels; an intense customer service and people orientation, and a demonstrated team player.
