Position Summary :
An efficient assistant can make even the tightest of schedules and most hectic of days seamless and pain-free. We are a rapidly expanding technology company and are looking for an executive assistant to support up to four executives within our company.

We are looking for a multi-tasking expert with the experience and savvy to handle various personalities within our office. We have a casual work environment and though we work hard, we value our leisure time as well.

We need someone who shares the same passion for technology as we do. The right candidate should be able to navigate their way around the latest technology in order to communicate effectively. It’s a plus to have a technology or internet background. Responsibilities:
Efficient gatekeeper who can effortlessly stay 3-steps ahead of the executive at all times
Manage all incoming communication and correspondence (email, phone calls, mail etc.)
Manage and massage multiple calendars, ensuring fluid time management and punctuality
Be aware of executive deadlines and deliverables and calendar work blocks accordingly
Schedule and organize travel itineraries - both domestic and international – ensuring company policy is adhered to
Schedule and initiate conference calls including reserving the appropriate conference room
Act as ambassador with company staff, senior management, business associates, clients and vendors alike
Organize, prioritize and handle documents and sensitive, confidential information
Manage expenses on a timely basis
Prepare proposals and power point presentations
Maintain company files utilizing company retention guidelines
Provide reception coverage, as needed
Handle personal tasks as requested

Qualification:
Minimum 2 years of previous senior level administrative experience.
Strong proficiency with MS Office (Outlook, Word, Excel & PowerPoint)
Ability to multi-task and keep things moving in a very fast-paced environment, prioritize and prepare in advance
Tact and professionalism
