To provide the President/Chief Executive Officer (CEO) with support and assistance in managing the President/CEO daily and strategic activities. Coordinate accomplishment of assigned projects in an immediate process.

  • Bachelor’s degree in an appropriate field to support the tasks.
  • Knowledge of administrative and financial data systems required.
  • Experience in coordinating and completing complex projects.
  • Experience in establishing and directing/facilitating teams required.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) required. Other computer expertise desired.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar required.
  • Experience in quality project development and management required.
  • Must be cooperative, persistent, adaptive, and flexible. Able to take initiative and manage own time.
  • Must think critically and consider relative costs and benefits of potential actions in dealing with complex problems.
  • Deductive and inductive reasoning required to apply general rules to specific challenges and combine various data to form general rules or conclusions. Must be able to recognize when activities are going wrong or reaching unwanted conclusions and refocus the efforts towards appropriate conclusions.
  • Must be able to bring projects and assignments to closure within a directed time frame.
  • Able to coordinate resources and people from various areas.
  • Ability to successfully communicate verbally and in writing across executive, divisional, and departmental lines and engage cooperation from stakeholders required.
  • Must maintain absolute confidence in all activities. Must deal with sensitive issues ethically and with integrity, raising and resolving concerns when they arise.

  • Essential Functions:
  • Accomplish a variety of projects requiring quick results. Projects are assigned by the President/Chief Executive Officer or designee.
  • Conduct research, compile data, and prepare papers for consideration and presentation by President/CEO. May provide information and/or assist with briefings during meetings at CEO direction.
  • Analyze project requirements and quickly develop processes to achieve project goals.
  • Coordinate among various divisions and departments to accomplish CEO’s project goals and results in support of the Strategic Plan. Acts with CEO-delegated authority to accomplish goals and objectives.
  • Define data requirements and gather information required to complete projects.
  • Collaborate with senior managers and decision makers to identify and solve a variety of challenges and clarify assigned project requirements and objectives.
  • Break assigned projects into their component parts and organize process for accomplishment. Monitor projects accomplishment and evaluate effectiveness.
  • Understand projects in terms of organizational strategic plan, organizational policies, regulatory requirements, and budgeting.
  • Prepare reports, memoranda, letters, financial statements, and other documents for the CEO.
  • Assist CEO in compiling and maintaining a notebook of vital instructions as described in the BBAHC President/Chief Executive Officer Succession Planning policy.
  • Assist CEO in organizing and filing CEO electronic and hard copy information.
  • Assist the President/CEO with travel, lodging, and rental car arrangements for meetings, events, trainings, and other activities outside the Kanakanak campus.
  • Accompany CEO to meetings, conferences, and other activities locally, state-wide, and nationally.
  • Assist with arranging and coordinating meetings, conferences, and gatherings on behalf of the President /CEO.
  • Assist the President/CEO in arranging and communicating President/CEO schedules.
  • Understand the organization’s Performance Improvement (PI) processes (FOCUS-PDSA) and apply to assigned project accomplishment. Projects are frequently assigned during the latter phases of the PI cycle. Align projects with business and action plans.
  • Prepare management reports on phasing, prioritization, status, and accomplishment of various projects.
  • Performs other duties as assigned.
