Job Summary:
Provide administrative assistance and support to the VP of Finance to ensure functions of the corporate office are managed in a professional and dependable manner. Maintain and safeguard the confidentiality of sensitive information regarding the operation of the company. Responsible for various administrative duties such as: coordinate travel arrangements; plan and maintain schedules by arranging, setting and confirming appointments, meetings and related activities; prepare correspondence from drafts and/or compose letters as directed; handle invoices and monthly billings; appropriately respond to telephone calls and incoming mail; prepare expense reports and maintain files.

Minimum Qualifications:
High School Diploma or equivalent. Associate or higher degree preferred.
Proficient with use of software including Word, Excel, PowerPoint and Access.
Experience with SAP required.
Strong verbal and written communication skills.
Bilingual in English and Spanish is required.
Good organizational skills.
Availability to work scheduled and unscheduled overtime.
Ability to work in a fast-paced environment.
Ability to prioritize work and hand multiple priorities.
Five (5) years secretarial or administrative assistant experience required. Executive Administrative Assistant/Secretary experience preferred.

Job Duties:
Provide administrative support to the VP of Finance to ensure functions of Administrative Office are managed in a professional and dependable manner.
Answering and responding to incoming telephone calls and meeting visitors.
Preparing correspondence and presentations.
Coordinate travel arrangements using the most time-saving and cost-effective methods available. Schedule use of company plane when feasible.
Arranging, setting, and confirming appointments, meetings and related activities.
Preparing expense reports.
Reviewing and creating cost analysis reports.
Maintaining files.
Maintaining and safeguarding the confidentiality of sensitive information regarding the operations of the company.
Monitoring and controlling of the VP of Finance’s Budget on a monthly basis as well as allocations without approval.
Controlling vacation schedule of the direct reports of the VP of Finance.
Perform other duties as assigned.
