The
Corporate Executive Assistant
handles day-to-day administrative responsibilities including, scheduling meetings, maintaining complex calendars, coordinating extensive travel plans (including international), placing and receiving phone calls and faxes, processing expenses, generating correspondence and maintaining paper and computer files. Interacts with various level contacts inside and outside the company to gather and prepare information relative to the manager’s functions. Ability to execute professional level tasks with minimal direction is essential. This role is responsible for supporting a Senior Vice President that interacts with various Executive Level associates both within and outside the Catalent companies.
Responsibilities include:
Performing professional level tasks that are sensitive in nature, requiring independent judgment, initiative and tact
Preparing presentations for internal and external audiences, under general direction (but does not facilitate presentations)
Strong skills using Outlook and MS Office - PowerPoint, Word and Excel
Managing the preparation of presentation materials
Scheduling and organizing meetings and conferences (i.e., schedules attendees, conference rooms, catering and clean-up services)
Organizing and maintaining necessary confidential files and records
Coordinating ordering of office and break room supplies
Working independently with only general guidance on a variety of special projects
Ad hoc responsibilities
Qualifications
Education or Equivalent:
High school diploma or equivalent required; College degree preferred
Knowledge/Skills Requirements:
Stable work history.
5+ years Administrative Assistant experience
Ability to be self-motivated, process oriented and customer focused
Professional demeanor/ ability to interact with internal/ external customers in a positive and professional manner
Ability to evaluate and correct general administrative problems/ exercises good discretion and judgment when solving administrative issues and/ or handling information of a sensitive or confidential nature
Strong written and verbal communication skills/ ability to interact effectively with inside/ outside people through correspondence or phone
