Summary -
The Executive Assistant is responsible for providing administrative and communication support to the Executive Vice President and Senior Management Team.

Essential Duties and Responsibilities –
Other duties may be assigned.
At all times, maintain strict confidentiality to ensure the security of sensitive Credit Union and member information.

Organize and coordinate activities of the Senior Team including travel, calendars, appointments, schedules, and meeting preparation to ensure activity objectives are met.

Compose letters, emails, reports, and presentations from dictated, handwritten or other sources, and assists in preparing agenda and related material for the Senior Team.

Assist in the research and preparation of the Senior Team presentations including the design and creation of spreadsheet, graphical and visual pieces to ensure message is accurately delivered in communication.

Research and negotiate pricing with outside facilities for Board meeting space to ensure the most appropriate and cost effective facility is procured.

Reconcile, prepare, and submit expenses for approval including vendor billing, credit card statements and travel expenses for the Senior Team to ensure timely and accurate repayment of approved expenses.

Maintain accurate and updated credit union records such as vendor contracts/agreements, exam/audit information and CUSO files to ensure information is easily obtainable and documents are within regulatory compliance.

Coordinate corporate travel for credit union staff including transportation, hotel, and registration to ensure they are within an approved budgeted expense and are in line with meeting activity objections.

Serve as a back up to coordinate and prepare Board related materials and activities to ensure they are representative of the organization and to ensure compliance with legal requirements.

Serve as a back up to maintain verbal and written correspondence with the Board of Directors and Committees of the Board to ensure accurate and up-to-date communication levels are upheld.

Serve as a back up to record and distribute monthly minutes from the Board of Director meeting to ensure communications and a chronicle of decisions is recorded properly.

Job Qualifications

Education:
Equivalent to a high school education.

Experience:
Six months to two years of executive assistance experience

Other Knowledge, Skills, & Abilities Proficiency in MS Office, Adobe Acrobat software

Significant level of trust and diplomacy

Ability to multi-task and manage priorities effectively

Well organized, presented, and confident

Travel may be required

Skills and Abilities:
Strong execution of established initiatives and growth targets
Expertise in anticipating and identifying business needs
Project management experience
Strong communication and negotiation skills (both verbally and written)
Ability to lead a team to success

Mental Demands:
This position requires the team member to make decisions in a timely and efficient manner, and anticipate all of the potential ramifications of the decisions made.

The team member must be able to develop, recommend, and implement financial policies and procedures and be able to analyze the work flow of the Credit Union on a continuous basis and make changes to improve efficiency and reduce costs.

The team member must be able to read and interpret documents or instruments, understand / follow complex written and oral instructions, make decision and to resolve problems or unique circumstances, be able to express oneself clearly/concisely, perform mathematical functions, and handle multiple, concurrent tasks.
