We are looking for an Executive Assistant. The Executive Assistant will coordinate and manage travel, events and meetings for the Flat Products Group. This position will also assist with preparation, compilation and distribution of reports and presentations.
Manage all administrative tasks and details for assigned managers - make decisions on their behalf within pre-defined parameters; ensure that Senior Managers are fully prepared to efficiently and effectively complete their duties.
Coordinate appointments and maintain schedules and make arrangements for assigned managers.
Primary voice and e-mail contact when requested; act as a liaison as needed and greet visitors meeting with the team.
Manage all travel arrangements; including international travel.
Coordinate travel and accommodation arrangements for corporate either directly or partnering.
Compose, edit and manage correspondence.
Schedule and oversee events, visits, meetings, etc. for assigned areas; coordinate financial meetings and presentations with other departments that will be involved.
Create, develop or modify charts, reports, presentations, agendas and other documents.
Maintain and review corporate American Express accounts; attempting to resolve discrepancies with employees/vendors/American Express and/or reporting discrepancies to Senior Management.
Maintain records and files, physical or electronic, as required.
Back-up Office Greeter and Coordinator in reception duties.
Work with other Executive Assistants, Office Greeter and Organizational Project Assistant as part of the overall support team.
Bachelors degree is preferred.
Office Management or related or specialized training/preparation for Executive Assistant.
Minimum 5 years experience C-level Executive Assistant roles, experience supporting EVPs, SVPs, CFO, etc.
Prior experience working with Finance and Accounting strongly preferred; understanding of financial terms and practices helpful.
Experience managing travel and event planning required; experience with international travel arrangements including passports, visas, etc. preferred.
Intermediate to advanced proficiency in Microsoft Office - Word, Excel, PowerPoint and Visio required.
Ability to work autonomously with minimal direction.

Strong customer relations skills - seeks to help others and to anticipate needs.
Ability to remain calm and patient during periods of high activity.
