To support our company’s strategic initiatives and continued growth, we are currently seeking top talent to join our Human Resources Department as an Executive Assistant. The Executive Assistant will be responsible for providing top level administrative support to the CHRO and broader Human Resource function. The HR Executive Assistant will represent the department and Company; a polished, professional, proactive, and conscientious individual is essential.
Duties include but are not limited to:
Calendar management; organization and coordination of on/off site meetings (logistics: venue, conf call numbers, AV equipment)
Preparation of PowerPoint presentations, meeting agendas and materials
- Phone - central point of contact for HR, ability to triage and escalate issues as appropriate using multi-line system
- Travel arrangements
Coordination of interviews as needed
Up-keep of HR employee files
Expense reconciliation, invoice processing
Support all HR functions as needed (Talent Management, Compensation, Benefits, Recruiting, Training and Development)
Provide administrative support to the VP Talent Management, VP Compensation and HR Business Partner, as needed
Responsible for HR Communications across the company
Coordinate new hire on-boarding i.e. logistical work such as station arrangement, PC/Laptop allocation, IT, security
Key contact for HR Media Inquiry hotline
Company event representative i.e. Holiday and Summer parties, American Cancer Society events, Bring your daughter/Son to work day
Office administration and maintenance i.e. supply ordering, cleanliness of office, technical needs; serve as point of contact for department issues and needs
Bachelor’s degree; 5+ years of administrative HR experience
Initiative – has foresight, possesses a sense of urgency and the ability to anticipate needs
Agile and adaptive – the Exec Assistant will be the central point of contact for both internal and external clients. Must be able to juggle multiple priorities, know when to shift gears, and have a strong attention to detail.
Confidential and discrete - the nature of this work demands an extremely high level of confidentiality, professionalism, keen judgment and decision making skills
Professional and customer focused – maintain a customer centric, friendly and professional disposition at all times
Advanced problem solving skills; extremely organized with a high level of attention to detail
Strong computer skills: Microsoft Suite proficiency i.e. Word, Excel, PowerPoint, Outlook, etc.
Team player with dedication to the job and its responsibilities
