The Executive Assistant provides personal administrative support and assistance to the Global Accounting Controller and his/her 8 direct and indirect reports, Vice Presidents and Directors of Accounting, based in the US and their staff.

Responsibilities:

The Executive Assistant will, for the Global Accounting Controller:

  • Handle information requests, and perform clerical functions such as preparing correspondence or reports, receiving visitors, arranging conference calls, and scheduling meetings
  • Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, from various geographical locations, to coordinate a variety of complex executive meetings
  • Arrange travel schedule and reservations as needed and prepare expense reports timely
  • Answer phone and direct all incoming calls to appropriate party promptly and efficiently
  • Communicate and handle incoming and outgoing electronic communications
  • Assist with preparation of presentation materials, review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary; record, transcribe and distribute minutes of meetings
  • Assist in compiling and reporting information from various members of the team for the purpose of group presentations or reporting
  • Coordinate availability of, and resolution of technical issues with, office equipment; coordinate working space availabilities and changes for the team
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • The Executive Assistant will also support the 4 direct reports to the Global Accounting Controller and their teams of approximately 200 people in the US, London, Miami and Singapore in, more specifically for the direct reports:

  • Handling information requests, and performing clerical functions such as preparing correspondence or reports, receiving visitors, arranging conference calls, and scheduling meetings

  • Requirements:

    The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a large, geographically disperse, team.

    The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.

    * 5+ years experience supporting at the executive level

    * Excellent calendar management skills, including the coordination of complex executive meetings

    * Experience assisting management with the creation of PowerPoint presentations

    * Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook

    * Experience scheduling travel arrangements for management

    * Must have the legal right to work in the United States
