Provide Senior level executive administrative support for multiple executives and their staff also serve as back up for CEO Executive Assistant by preparing reports, handling information requests, conducting research, managing vendor relationships, and performing clerical functions such as preparing correspondence, receiving visitors, arranging travel, records retention (including some filing), and scheduling conference calls and meetings. May also train and supervise lower-level clerical staff.
Prepare reports, memos, letters, financial statements and other documents, using spreadsheets, databases, or presentation software.
Open, sort, and distribute incoming correspondence, including mail, faxes and email.
Perform general office duties such as ordering supplies, maintaining records management systems
File and retrieve corporate documents, records, and reports.
Prepare responses to correspondence containing routine inquiries.
Prepare agendas and make arrangements for meetings.
Manage and maintain executives' schedules.
Make travel arrangements for executives.
Interpret administrative and operating policies and procedures for employees.
Conduct research, compile data, and prepare papers for consideration and presentation by executives.
Manage vendor relationships to ensure continuous coverage, supplies, or services are provided. (i.e. Office Supplies, Landlord, Beverage Supplies, etc
Organize and assist in leading corporate office safety program.
Maintain a high level of organizational ability including developing and implementing processes for organizational excellence.
Plan and organize organizational events

Experience and Education:
High School Diploma Required.
Preferred - Undergraduate degree in a Business related field.
Minimum of 5 years related work history.
High proficiency level with databases including creating reports. Excel is required; Sharepoint is nice to have.
High proficiency level with other MS Office tools such as Word & PowerPoint.
Excellent Communication skills.
